Main Purpose:As an HR Administrative Assistant in the logistics industry, your primary responsibility will be to support the human resources functions within the organization. You will play a significant role in ensuring effective recruitment, employee relations, performance management, compliance with relevant labour laws, prompt and efficient onboarding of all new employees and or leavers and ensure payroll and overtimes are handled effectively.
Knowledge Skills and Abilities, Key Responsibilities: Degree in Business Administration, Human Resources or related field Minimum 1-3 years experience in United Arab Emirates Experience and knowledge of the labour laws within UAE and Jafza free zone and experience on the Dubai trade portal is a plus Proficiency in excel, word and HR systems(experience with Workday would be useful). Proficient in written and spoken English Excellent interpersonal skills Problem solving and decision making Emotional intelligence Negotiation skills and stress management skills Strong leadership, management and team building skills Excellent organization and multitasking abilities Recruitment and Onboarding Source, screen, and interview candidates to ensure a qualified and diverse talent pool following the companies procedures and processes. Visa applications and renewals Coordinate the onboarding process for new hires ensuring a smooth transition into the organization. Ensure all visa applications and renewals are actioned in a timely manner. Employee Relations Develop positive employee relations by addressing our concerns, resolving conflicts, and promoting a positive work environment. Performance Management Implement and manage performance appraisal processes, providing guidance to managers and employees Work closely with department heads to develop and implement performance improvement plans when necessary. Training and Development Identify training needs and collaborate with training departments to develop programs that improve employee skills and knowledge Monitor and evaluate the efficiency of training initiatives. Compliance and Legal Matters Stay updated on labour laws and regulations relevant to the logistics industry Ensure compliance with company policies and procedures, as well as local labour laws. Benefits and Administration Coordinate employee benefits programs, including health insurance, retirement plans and other company benefits with the support of Regional HR HR Administration Maintain accurate and up to date employee records ensuring confidentiality and compliance with data protection regulations On a monthly basis ensure overtime details are accurate and reported to payroll team in timely manner Ensure monthly payroll is accurate and approved in a timely manner ensuring new joiners and leavers details are uploaded. Safety and Wellness Collaborate with the safety department to promote a culture of work place safety. Implement wellness programs to enhance employee well being Administration Ensure all administration and employee documents are filed correctly and accurately as per companies filing system procedure and internally via our HR system. Facilitate the movement of incoming and outgoing official documents includes proper filing and recording General Responsibilities Live companies core principles and work proactively in a customer related way in accordance with adopted procedures and best practices. Work co operatively with colleagues and external stakeholders to promote the companies overall business objectives. Ensure that confidentiality is respected and always maintained
