To provide efficient administrative support for the HOD and CosmeSurge team, assists in informing new employees of human resource policies and programs as needed. Performs a variety of responsible and complex technical and administrative duties relating to personnel functions and programs including in the areas of recruitment, on-boarding, licensing, trainings, employee relations and HR administration.
• Responsible for all the UAE Nationals recruitment related affairs and other positions in coordination with Corporate Talent Acquisition team, as required.
• Communicates requirements and duties to prospective candidates and assist the manager in screening eligible candidates as applicable.
• Assist with scheduling all candidates interviews and coordinate in-house schedules as applicable.
• Keep proper records of candidate interviews and report them to the manager.
• Continue to provide efficient, cost effective and high-quality support to managers in recruitment and selection within the minimum timeframe.
• Responsible for the complete joining and transfer formalities of new and existing staff
• Ensure the required documentation such as Labour, Visa, EID, and applicable Medical License, etc. has been obtained prior to/on the new employee joining date.
• Ensure to obtain all the joining documents filled-up by the employee, collection of all credentials and creation of a proper employee file on the joining date.
• Introduction with all the facility's HODs, facility tour and schedule the initial departmental orientation/training with relevant HODs; coordinate with Corporate HR and schedule the Employee Induction Program.
• To ensure that all staff's documents are filed/saved into their personal file and shared folder on a timely basis and all the personnel files are up to date with all mandatory documents in compliance with applicable Health Authority, MOHRE, OSHAD, TASNEEF, FANR, JCIA, etc. and other regulatory.
• Timely coordination between HODs, Staffs & Speakers for all kind of internal & external trainings/orientation programs.
• Proper arrangement of all the requirements for the training/orientation program
• Obtain the attendance sheets and feedback forms after the completion of the program and maintain a proper training records files and tracker for audits/inspections.
• Continue to support the team with the organizational employee engagement and welfare programs to encourage a positive organizational culture & to encourage innovation and collaboration.
• Participate in disciplinary and grievance procedures as appropriate.
• Exercise good judgment and maintain confidentiality in maintaining critical and sensitive information, records, and reports.
• Effectively and consistently communicates with administrative personnel and encourage interactive departmental meetings and discussions.
• Communicates the mission ethics and goals as well as the focus statement of the department.
• Minimum 0-2 years in a similar organization
• Any Bachelor degree preferred
