: HR & Visa Processing Coordinator

Position Overview:
The HR & Visa Processing Coordinator is responsible for managing all aspects of the visa application and processing procedures for employees, ensuring compliance with relevant immigration laws and regulations. This role also involves providing support to the HR department in various administrative tasks related to employee records, onboarding, and benefits administration. The HR & Visa Processing Coordinator plays a critical role in facilitating a smooth and efficient process for employees obtaining necessary visas for work-related travel or relocation.

Key Responsibilities:

Visa Processing:

• Manage the end-to-end visa application process for employees, including preparing and submitting visa applications, supporting documentation, and visa renewal requests.
• Stay abreast of current immigration laws, regulations, and procedures to ensure compliance and accuracy in visa processing.
• Liaise with external immigration agencies, legal counsel, and government authorities to obtain necessary visas and permits for employees.
• Communicate visa requirements, timelines, and updates to employees and relevant stakeholders in a clear and timely manner.
• Monitor visa expiration dates and proactively initiate renewal processes to avoid any disruptions in employee travel or work authorization.
• Maintain accurate records of visa applications, approvals, denials, and related documentation.

HR Administration:

• Assist with maintaining employee records, including personal information, employment contracts, and visa documentation, in compliance with data protection regulations.
• Support the onboarding process for new hires by collecting necessary paperwork, facilitating background checks, and coordinating orientation sessions.
• Assist employees with inquiries related to HR policies, procedures, and benefits programs.
• Coordinate employee benefits administration, including enrollment, changes, and inquiries, in collaboration with the HR team.
• Assist with the coordination of employee performance management processes, including evaluations, goal setting, and performance improvement plans.
• Handle confidential employee information with discretion and maintain strict confidentiality at all times.

Qualifications:

• Bachelor's degree in Human Resources, Business Administration, or a related field (preferred).
• Proven experience in visa processing and/or HR administration, preferably in a multinational or global organization.
• In-depth knowledge of immigration laws, regulations, and procedures, with experience in managing visa applications for employees.
• Strong organizational skills with the ability to manage multiple priorities and deadlines effectively.
• Excellent communication skills, both written and verbal, with the ability to interact professionally with employees, external agencies, and stakeholders.
• Proficiency in Microsoft Office Suite and HRIS software (e.g., ADP, Workday) for record-keeping and data management.
• Attention to detail and accuracy in documentation, particularly in handling sensitive employee information.
• Ability to work independently as well as collaborate effectively in a team environment.
• Flexibility and adaptability to navigate changes in immigration laws, policies, and procedures.
• Prior experience in international HR or visa processing roles is highly desirable.

Job Type: Full-time

Pay: AED1,875.31 - AED6,569.26 per month
