Job Overview
:
The
HR Specialist
is responsible for handling all aspects of the employee exit process, leave administration, maintaining the employee records, updating the leave trackers, and ensuring full compliance with labor laws and internal company policies. The role is critical for ensuring a smooth and legally compliant separation process, maintaining accurate records, and supporting employee well-being during time off.
What will you do?
1. Offboarding Management
Manage full employee offboarding lifecycle, including:
Resignation processing, termination, retirement
, and
end-of-contract separations
.
Issuing
clearance forms
,
exit interviews
, and
final settlement coordination
.
Calculate
gratuity, leave encashment, and EOSB
, and coordinate with Payroll/Finance for processing.
Ensure the return of company assets, access cards, and documentation.
Draft and issue
experience letters
,
service certificates
, and
NOC letters
.
2. Leave Administration
Handle all types of employee leaves:
Annual leave, sick leave, emergency leave, unpaid leave, and special leave
.
Verify supporting documents for
medical leaves
and ensure they are compliant with UAE regulations.
Maintain and update
leave balances in the HRMS/ERP system
.
Coordinate with site/admin departments for workforce planning during leave periods.
3. Documentation & Compliance
Ensure offboarding and leave processes comply with:
UAE Labour Law
, company policy, and internal audit standards.
Maintain complete, confidential, and accurate
employee records
.
Liaise with PROs/legal for visa cancellations or extensions during separation.
4. Employee Support & Communication
Respond to employee queries related to leave entitlements, offboarding procedures, and legal rights.
Provide support during emergencies or exceptional leave requests.
Educate employees and line managers on
leave policies
and
exit procedures
.
5. Reporting & Analysis
Prepare monthly dashboards:
Leave utilization
,
absenteeism trends
, and
exit data
(by cause, tenure, etc.).
Recommend improvements in policies based on exit feedback and trends.
6. Grievance & Conflict Management
Receive, document, and resolve employee complaints professionally and confidentially.
Investigate grievances or conflict situations in line with UAE labor law and internal policy.
Mediate disputes between employees or between employees and supervisors.
Provide recommendations and support on disciplinary actions, up to termination.
7. Disciplinary & Misconduct Handling
Ensure all disciplinary processes are fair, documented, and legally compliant.
Prepare warning letters, investigation reports, and case files.
Maintain a log of violations and disciplinary actions for audit and legal purposes
Qualifications & Skills:
Education:
Bachelor's degree in
Human Resources, Business Administration
, or a related field.
HR certification (CHRM, CHRP, ... etc.)
is preferred.
Experience:
3-5 years of relevant HR experience, ideally in a
construction or labor-intensive industry
in the UAE.
Strong knowledge of
UAE Labour Law
, especially in areas of
termination, leaves, and benefits
.
Technical Skills:
Experience with
HRMS/ERP systems
.
Proficient in
MS Office
, especially Excel for leave tracking and reports.
Familiarity with
visa cancellation and PRO coordination
processes.
Soft Skills:
Excellent interpersonal and communication skills.
High level of confidentiality and attention to detail.
Strong time management and organizational skills.
Empathy and cultural sensitivity when handling exits and sensitive matters.
