The post holder is expected to work with a high degree of accuracy, confidentiality, and attention to detail.Safeguarding StatementSafeguarding is everybodys responsibility. All staff working at JESS will have some contact with children and young people and will therefore be in a position of trust. Staff with teaching duties will be responsible for the students that they teach and may also have additional specific pastoral or other responsibilities for other students they do not teach. In addition, all staff will regularly interact with students who may seek assistance or otherwise interact with them whilst moving around the school. In all cases, staff have the responsibility for promoting and safeguarding the welfare of the students and must adhere to and always ensure compliance with the schools Safeguarding and Child Protection Policy and procedures to include whistleblowing and ensure all concerns are immediately passed on to the schools Designated Safeguarding Officer(s) (DSO).Main Tasks and DutiesThis not an exhaustive list of duties/responsibilities. The postholder may be required to do other duties appropriate to the level of the role, as directed by the Head of HR. The responsibilities outlined may be modified by the Head of HR, upon mutual agreement, to reflect or anticipate changes in the role:Recruitment and Selection:
To assist the Head of HR with the efficient running of staff recruitment (excluding Emiratisation) and selection processes by liaising with the relevant schools SLT, placing job adverts on approved platforms and longlisting (where required).
Maintaining accurate electronic records of the recruitment and selection process.
To ensure that the vacant roles listed on the schools website is reviewed and updated on a regular basis.
To collaborate with the Head of HR in creating and reviewing/updating job descriptions and recruitment packages to ensure JESS is an employer of choice.
To deal with all recruitment enquiries, by email, telephone or in person promptly and efficiently.
To undertake timely safer recruitment and vetting checks and report findings to Head of HR. To include references and verification, online social medial checks, prohibitions checks, police clearance checks, employment checks etc.
To support the Head of HR in preparation of Offer Letters, Contracts of Employment, Addendums etc for check and sign off by the Head of HR, using model contract templates.
To prepare Supply Agreements, Service Agreements, Contracts for self-employed third parties, Ad Hoc Agreements for staff (living allowance, medical insurance, CPD etc) for check and sign off by the Head of HR, using model contract/agreement templates.
Ministry of Education TLS and Ministry of Education Code of Conduct:
To be responsible for collating compliance data on Teacher Licencing and keeping it up to date.
To ensure that the schedule of examination registration dates is circulated to CPD coordinators and staff.
To ensure that academic staff are actively participating in the process through regular reviews of the verification lists from Ministry of Education and engagement with academic staff.
To be responsible for ensuring all staff sign the Ministry of Education Code of Conduct and keeping records up to date for compliance visits.
Payroll: To support the HR and Emiratisation Manager in preparation of monthly payroll in circumstances where he/she is absent.Contract Renewal: To support the Head of HR and HR and Emiratisation Manager in preparation of Contract Renewals.General HR Administration:
To maintain electronic personnel files in an orderly, secure, and confidential manner, ensuring files are kept up to date and in line with data protection requirements. To carry out regular audits and maintenance of personnel files as required.
To update HR databases - with joiners and leavers and notify relevant departments.
To collaborate with the Arabic Administration in providing lists of all new staff and leaving staff in a timely manner so that she can update the KHDA and Ministry of Education appropriate portal(s).
To be a point of contact for staff queries about routine employment matters, referring more complex issues to the Head of HR as appropriate.
To work in collaboration with the Head of HR, HR and Emiratisation Manager, HR Assistant, Arabic Administration and PRO on any HR matters as may be required by the Head of HR.
To assume some of the responsibilities of the HR and Emiratisation Manager, HR Assistant, Arabic Administration and PRO in their absence e.g KHDA appointment letter applications.
To be committed to the continuous improvement and review of current practices and procedures; making suggestions for revision where the need for change is indicated.
To maintain up to date awareness of current employment law and best practice.
To build good relationships with all employees (prospective and current) to provide proactive and customer-focused HR support.
To actively take part in department meetings and staff training as may be required.
To adhere to school policy on safeguarding and updating training as required.
To carry out any other reasonable duties, as may be determined by the Head of HR.

Degree or Diploma.
Updated training, courses and workshops related to UAE Labour Law, safer recruitment, payroll and compensation benefits.
Experience, Skills and Knowledge:
Experience of 5 years plus working in a school HR department preferably with some UAE school experience in a similar role.
Experience using SharePoint, Microsoft Teams, Excell and iSAMS.
Knowledge and experience of the Ministry of Education TLS and KHDA appointment letter application process.
Personal Qualities:

Ability to multitask and prioritise, planning own workload to fit around the needs of the department.
