• Coordinate in the Recruitment and Selection process.
• Assist the Functional Managers for any recruitment requirement, preparing JD, have the required ISO forms approved and in place before proceeding on the sourcing of candidates.
• Advertising vacancies to the recruitment agencies and sourcing CVs through referrals, company careers database and online portals.
• Initial screening of candidates for shortlisting.
• Coordinate/ Facilitate & Present joining formalities as well as conducting Induction for new employees in making new joiners aware of the company's rules & regulations by going through the HR Manual and subsequently follow - up of progress of new recruits in their jobs through induction and probation period.
• Responsible for tracking/ evaluating the performance appraisals of employees.
• Ensuring the HR assistant is maintaining and regularly updating the master employee database, filling of records and pertinent documents in the employee file and ensure its tidiness, continuous update and accuracy.
• Coordinate and ensuring that the information from memos, employee details, annual leave applications and clearances are regularly updated.
• Preparation of Attendance sheets and sending out to branches for entering the details. Collect the same and verify and get approval on it and forward the same to payroll department for Salary processing (All Branches/ Office)
• Coordinate with HR Assistant for Letters/ certificates/ documents required by government agencies in the JAFZA portal.
• Provide support to comply with all HR policies and procedures in dealing with day-to-day employee affairs - leave application forms, joining memo's, time sheets, back from leave, clearance related to vacation/ resignation/ termination etc.
• Assist employees and managers with day- to day HR related queries, complains, and suggestions, directing staff questions to HR Manager or other respective departments. Ensure timely follow - up and escalate matters to the manager when necessary
• As per instruction from the HR Manager prepare and make the data entry of all transactions related to change in compensation and benefits arising from promotion and merits increases in accord with approved guidelines and approved budgets.
• Administration of staff benefits program (medical insurance, insurance policies and others)
• Prepare, secure signatures and approval of personnel transactions such as promotion, transfers, termination and disciplinary letters etc.
• Draft other HR related correspondence letters as required by the HR Manager
• Ensure the passport retrieval request form is signed and approved by the Department head and the HR Manager prior to release of passport.
Prepare and review in coordination with the HR Manager and publish organizational HR policies and procedures and ensure compliance of documentation. Ensuring all forms are maintained and regularly updates as per the ISO specifications.
