Role Overview:
We are seeking a highly organised and proactive HR Coordinator to join our HR team. This role provides an excellent opportunity to gain exposure across various HR functions while contributing to the smooth operation of our employee life cycle processes. The HR Coordinator will assist with onboarding, recruitment coordination, compliance, employee benefits, and general HR administration, working closely with the HR Manager and supporting the wider team.
Responsibilities
Recruitment Coordination:
• Review CVs and assist with shortlisting candidates.
• Post job openings on Ashby (Applicant Tracking System) and monitor applications.
• Schedule and coordinate interviews with candidates and hiring managers.
• Ensure recruitment documents are filed and saved appropriately.
Onboarding :
• Manage onboarding logistics, including preparation of welcome kits and arranging first-day orientation.
• Input new hire data into the HRIS and update personnel files.
• Liaise with the visa and Emirates ID (EID) service provider to ensure all necessary documentation and processes are completed promptly.
• Track visa and EID expiries, sending reminders for renewals.
HR Administration & Compliance:
• Assist in maintaining employee records, including saving and updating information in personnel files.
• Draft and proofread HR-related communications to employees and external partners.
• Help ensure compliance with internal policies and support HR audits.
• Assist in updating beneficiaries and ensuring all documentation is accurate and up to date.
Employee Benefits, Training & Development:
• Support employee benefits enrollment and answer related queries.
• Assist with logistics for training sessions, such as booking meeting rooms and ordering catering.
• Provide reminders and chase deadlines for performance management and mentoring programmes.
Office Support & Coordination:
• Handle travel arrangements for HR-related events and employee relocations.
• Support office management in organising team parties and corporate events.
General HR Support:
• Prepare reference and bank letters for employees as needed.
• Conduct HR research to support policy reviews and office expansions
• Create visually appealing PowerPoint presentations (content provided by others).
Qualifications and Skills:
• Bachelor's degree in Human Resources, Business Administration, or a related field.
• 2-6 years of experience in HR or office administration is preferred but not required.
• Strong organisational skills with exceptional attention to detail.
• Excellent written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfort with learning HRIS systems.
• Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
• A proactive and adaptable approach, with a willingness to take on new challenges.
• An interest in HR and employee engagement, with a passion for building a positive workplace culture.
