The key areas of responsibility lie within the areas of SOP preparation and control, Internal Auditing & Quality Control. The position will be reporting to the CMO & CAO but will work closely with other Team Leaders from each Departments. Furthermore, the job holder will be responsible for assisting the daily HR operation activities of the center. He/she will coordinate a team and ensure all tasked are done promptly. In addition, the job holder will assist the management in implementing any improvement needed in order to improve business processes and procedures in the center.

A. Human Resources

• Sole responsible in the entire recruitment process by posting requirements on various job websites, identifying candidates, conducting initial screening, and scheduling shortlisted candidates to have interview with relevant hiring manager
• Prepare offer letter and send to hiring manager for approval prior to sending to the selected candidate
• Coordinate with Management for employee's leaves and block Dentist schedules when required
• Prepare and send announcement, circular/memo, campaign, company event and any other information that is meant to be shared to all employees
• Assist in the day to day HR activities of the center in coordination with the HR and Account Assistant
• Provide guidance for any dispute / conflict that may exist between employees and management
• Sole responsible to monitor center contracts and assist in the process of their renewals (ex: Medical Waste, Pest Control, DOH License, Insurance, Civil Defense...)
• Assist management in manpower planning and scheduling
• Draft, review and implement HR policies and procedures
• Provide management and department heads guidance on reviewing and improving business processes
• Conduct and review salary of employees, shares, bonuses as needed
• Review, define and amend job descriptions for each role in the center
• Conduct Performance Management for the entire clinic with the CMO
• Ensure proper documentation of coaching session, feedback discussion or performance review of employee with their relevant manager
• Conduct yearly training for staff (ex: Information Security, Patient Flow: Self-Pay/Insured, Fire Safety, Infection Control, BLS etc.)

B. Quality Officer

• Conducting a thorough review and analysis of the existing company policies to ensure they are up-to-date and aligned with current best practices.
• Identifying areas where new policies may be needed based on the evolving needs of the organization and industry trends, and creating comprehensive policies to address these specific requirements.
• Documenting the policies in a clear and concise manner, using appropriate language and formatting to enhance readability and comprehension.
• Presenting the newly developed policies to relevant stakeholders for review and feedback, and incorporating their input to further refine and improve the policies.
• Ensuring that the policies are effectively communicated to all employees through appropriate channels, such as training programs, company intranet, and regular updates.
• Monitoring and evaluating the implementation and effectiveness of the policies, and making necessary adjustments or revisions as needed to ensure ongoing compliance and effectiveness.

C. Compliance and Documentation

• Take the lead in DOH / Tasneef- JAWDA / FANR / ADHICS inspection and audit and ensure all documentations are prepared and the clinic is ready
• Ensure that all employees are compliant with the regulations of the center and of DOH.
• Take lead in any audit requirement of the business
• Regularly update biomedical documentation according to the PPM schedule or when new equipment is acquired.
• Document the results of the Water Quality test & X-ray quality tests
• Take charge of managing the FANR Account in collaboration with the RPO.
• Continuously monitor the Incident Log and take responsibility for investigating the details and properly closing each incident.

Qualifications:

• With at least 2-3 years of experience in HR and Healthcare Quality in the same capacity
• Good knowledge of proper documentation
• Experience in creating and implementing policies
• Good understanding of the Health care requirements
• Have a background of DOH regulation
• Knowledgeable about DOH/TASNEEF requirements
• Experienced in preparing facilities for audit/inspection preparedness
