Role Overview: The HR and Administration Officer will manage both human resources and administrative duties, ensuring effective operation of the company both within and outside the UAE. This role requires an excellent understanding of UAE labor laws, visa processes, and administrative tasks related to employment and office management. The responsibilities involve supporting our managers and employees and handling the overall administrative duties of our company.
Key Responsibilities:
• Draft and administer employment contracts, offer letters, termination letters, accommodation agreements, NOC, Salary Certificate, Vehicle Acknowledgment forms, and other relevant documents.
• Develop and maintain leave forms and other essential HR forms to ensure seamless tracking of employee time off and streamline the management of human resources documentation.
• Handle the application, renewal, and cancellation of employee Employment Visas in compliance with UAE regulations.
• Proactively monitor the expiration dates of visas, licenses, accommodations, Vehicle mulkiya, Employee Medical Insurance and other related company documents to ensure timely renewals and prevent any legal issues or penalties.
• Maintain detailed and secure records for all employee files, including confidential documents, passports, visas, visit visas, cancellations, photos, and other pertinent employee information.
• Coordinate with various departments to calculate the salaries of employees both within and outside the UAE.
• Ensure accurate calculation of end-of-service benefits and manage the comprehensive exit process, including final settlements and document handling.
• Conduct hiring processes, including the negotiation and finalization of employment terms, ensuring that all agreements align with company policies and legal requirements.
• Manage company license renewals, establishment cards, and other company-related renewals.
• Oversee company filing systems and maintain organized records.
• Procure medical insurance and manage the procurement of other company necessities.
• Manage and coordinate employee accommodations, negotiate terms with real estate agents, and handle all associated payments, including setting up new FEWA & SEWA accounts, arranging tenancy contracts, and other relevant documentation.
• Purchase office supplies and equipment from platforms like Amazon and oversee other company purchases.
• Arrange travel bookings and accommodations for all employees.
• Secure maintenance permits and other necessary authorizations in the free zone. Reach out to Free Zone authorities for any building maintenance issues in the office.
• Regularly update and maintain email correspondence and communication.
• Manage utilities, gather invoices, and keep the accommodation sheet updated.
• Ensure compliance with UAE employment laws and regulations.
• Stay updated with changes in legal stipulations and implement them accordingly.
• Manage employee concerns, conflicts, and inquiries promptly and professionally, ensuring all issues are resolved efficiently.
• Maintain diligent follow-up on tasks and processes to meet deadlines and uphold operational efficiency.
• Assist with the preparation of financial statements and documents.
• Update financial data in databases to ensure that information will be accurate and immediately available when needed.

Preferred Qualifications:
• Bachelor's Degree
• HR management certification is highly desirable.
• Thorough understanding of UAE labor laws and regulations.
Working Hours and Benefits:
• Working Hours: 9 AM to 6 PM, Sunday through Friday with one day off.
