Administrative Management:

• Office Operations:
• Manage the day-to-day administrative functions of the office to ensure smooth and efficient operations.
• Oversee office supplies, inventory management, and office equipment maintenance.
• Manages office documentation, correspondence, and records.
• Ensure office premises are well-maintained, secure, and equipped for employees to work effectively.
• Oversee office cleanliness and health and safety regulations in line with company policies.

Human Resources Management:

• Recruitment & Staffing:
• Lead recruitment activities for all office and field-based positions, including posting job advertisements, screening resumes, conducting interviews, and onboarding new employees.
• Collaborate with department heads to identify staffing needs and ensure timely hiring of cleaning staff, supervisors, and administrative personnel.
• Employee Relations:
• Maintain positive employee relations by managing day-to-day concerns, grievances, and conflict resolution.
• Ensure employees understand and comply with company policies and procedures.
• Oversee employee performance appraisals and implement systems for managing performance, development, and retention.
• Payroll & Benefits Management:
• Oversee payroll administration, ensuring accurate and timely payment of salaries, allowances, and bonuses.
• Administer employee benefits, including health insurance, end-of-service benefits, and leave management.
• Training and Development:
• Organize training programs to enhance employees' skills, including safety training, technical skills, and customer service.
• Develop and implement employee development programs to enhance team performance and retention.

Public Relations & PRO Management:

• Government Liaison (PRO Responsibilities):
• Act as the company's PRO, liaising with government authorities (e.g., Ministry of Labor, Immigration Department, Emirates ID Authority, GDRFA) for employee visa processing, work permits, residency permits, labor contracts, and other legal matters.
• Ensure compliance with all UAE immigration laws, labor regulations, and governmental requirements related to employee documentation.
• Oversees the process of visas, Emirates ID applications, renewals, and cancellations, and handle any legal requirements related to labor law compliance.
• Compliance & Documentation:
• Manage and maintain accurate records of employee visas, permits, labor contracts, and other legal documents.
• Ensure all necessary legal paperwork is completed and submitted in a timely manner.
• Keep track of all government deadlines (e.g., visa renewals, medical checks) and ensure compliance with all regulatory requirements.

Administrative Compliance & Reporting:

• Policies & Procedures:
• Develop and implement company policies and procedures regarding HR, administration, and public relations functions, ensuring they comply with UAE labor laws.
• Regularly review and update internal HR policies and ensure all employees are informed of any changes.
• Reporting & Analytics:
• Prepare regular reports on HR metrics such as employee turnover, recruitment, payroll, and performance assessments for senior management.
• Monitor key administrative activities, such as office supplies, inventory, and facility maintenance, and report on operational efficiency.

Qualifications:

• Education:
• Bachelor's degree in Human Resources, Business Administration, or a related field.
• Relevant certifications in HR & Public Relations are a plus.
• Experience:
• Minimum of 5 years of experience in administrative, HR, and PRO functions, preferably within the cleaning services, facilities management, or services sector.
• Strong understanding of UAE labor laws, immigration procedures, and compliance regulations.
• Proven experience managing government-related documentation (visas, permits, labor contracts) and familiarity with key government agencies in Dubai.
• Skills:
• Proficiency in HR software, payroll systems, and Microsoft Office Suite (Word, Excel, PowerPoint).
• Strong interpersonal, communication, and organizational skills.
• Ability to manage multiple tasks simultaneously and prioritize effectively.
• Detail-oriented with strong problem-solving and conflict-resolution skills.
• Knowledge of social media management and public relations strategies is a plus.
• Fluent in both English and Arabic (preferred).

Job Types: Full-time, Contract, Permanent
Contract length: 24 months

Pay: AED1,000.00 - AED1,200.00 per month
