We are seeking a dedicated and detail-oriented HR and Admin Executive for our esteemed client in the Technical Services industry. The HR and Admin Executive will be instrumental in managing the administrative and human resources functions of the company. This role includes a variety of tasks related to payroll, employee benefits, office administration, and HR functions. The ideal candidate should be organized, efficient, and capable of handling multiple tasks simultaneously. Responsibilities Reception Duties: Greeting and directing visitors, answering phone inquiries, and handling complaints in a courteous and professional manner. Office Supplies Management: Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies. HR Documentation: Preparing and maintaining HR documents, such as offer letters and employment contracts. Confidentiality and Security: Ensuring the confidentiality and security of files and filing systems. Scheduling and Coordination: Coordinating schedules, arranging meetings, distributing memos and reports, and ensuring everyone is kept current on necessary company news and information. Personnel Records Management: Maintaining physical and digital personnel records, including employment contracts. Job Postings: Publishing and removing job ads as necessary. Onboarding: Assisting with the onboarding process for new employees, including orientation and training coordination. Employee Relations: Addressing employee queries regarding HR policies, benefits, and procedures. Payroll Assistance: Assisting with payroll processing and maintaining payroll records. Performance Management: Supporting the performance management process by organizing performance reviews and maintaining performance records. Compliance: Ensuring company compliance with labor laws and regulations. Event Coordination: Organizing company events and activities to enhance employee engagement. Requirements and Skills Experience: Minimum of 2 years of work experience as an HR & Admin Officer, HR Administrative Assistant, or in a similar role. Technical Skills: Proficiency in Microsoft Office and experience with office management software, including word processing and spreadsheets. Organizational Skills: Excellent organization, time management, and scheduling skills. Bookkeeping: Basic bookkeeping experience, especially in accounts payable/receivable. Communication: Strong verbal and written communication skills. Multitasking: Ability to handle multiple tasks efficiently and effectively.
