Job Description

We are looking for an enthusiastic Head of Activities and Events Department to join a prestigious organization in Abu Dhabi. In this role, you will manage and organize a variety of activities and events that support the organizations goals and boost community engagement, including planning, coordinating, and overseeing events that create value for the organization and its stakeholders.KEY RESPONSIBILITIES:Strategic Planning of Activities:
  • Develop an annual plan for activities and events in alignment with the company's vision and goals.
  • Set clear objectives for each event and identify the target audience.
Event Management:
  • Oversee the execution of events from start to finish, ensuring goals are met.
  • Coordinate all event-related tasks including venue, timing, suppliers, and team collaboration.
  • Work on securing speakers, trainers, or external teams in collaboration with other departments.
Budget Management:
  • Prepare an initial budget for events and monitor its execution according to the approved budget.
  • Control expenses and ensure cost-effectiveness in all activities.
Team Management:
  • Lead and guide the activities and events team, assigning tasks effectively.
  • Evaluate team performance and provide necessary guidance for improvement.
  • Offer ongoing training and development opportunities for team members.
Coordination with Other Departments:
  • Collaborate with other departments such as Marketing, PR, HR, and Logistics to ensure event success.
  • Ensure effective coordination between all stakeholders involved, such as speakers, participants, sponsors, and suppliers.
Marketing and Promotion:
  • Work with the marketing team to develop promotional strategies to increase event attendance and engagement.
  • Monitor and analyse participant feedback to assess the success of events.
Risk Management:
  • Identify potential risks related to events and implement measures to mitigate or address them.
  • Ensure compliance with legal, health, and safety procedures during event execution.
Reporting and Evaluation:
  • Prepare regular reports on activities and events, including post-event analysis and feedback.
  • Provide recommendations for improvement in future events based on collected data and feedback.
Partner and Sponsor Relations:
  • Manage relationships with event sponsors and external partners to ensure their support and involvement.
  • Explore new opportunities for partnerships that enhance the quality and reach of events.
KEY REQUIREMENTS:
  • Holds a Bachelor's degree in Business Administration, Marketing, or a related field
  • Minimum of 5 years of experience in event planning and activities, with prior experience leading a team
  • Strong leadership and organizational skills
  • Ability to work under pressure and meet deadlines
  • Strong communication skills (both written and verbal) in Arabic and English
  • Proficiency in office software (Microsoft Office Suite) and event management software
