Job Description

Responsible to ensure that the general administrative aspects of the assigned contract/department are administered in an effective, efficient and professional manner enshrining the best practical performance to the complete satisfaction of all the direct and indirect clients.\xc2\xa7 To provide administrative and clerical support as required, for the assigned contracts/department including composing and editing correspondence as directed and to carry out the administrative routine works\xc2\xa7 Monitoring & reporting daily staff attendances records. Update reporting Manager with staff absents, sick & late reporting on or before 09:00 hrs. of each day.\xc2\xa7 Preparation of SRF & ITF and submission for approvals\xc2\xa7 Overall responsibility of staff appraisal process in every year for the assigned contracts/department as required\xc2\xa7 Production of the periodic progress reports as required by the Contract Manager / Operations Manager.\xc2\xa7 Prepare annual leave schedules for all the departments and monitor staff leave utilisation against the schedule.\xc2\xa7 Total staff leave administration of assigned contracts/department that includes annual, local, medical, emergency, absent etc.\xc2\xa7 Maintain vehicle inventory for assigned contracts/department\xc2\xa7 Total Administration of overtime recording & approval system\xc2\xa7 Liaison & Administration of staff recruitment, induction, training, disciplinary, termination, official travel process etc.\xc2\xa7 Issuance of uniforms, tools, stationary, grocery items, Telephones, IT related items, office equipment, furniture for the assigned contracts/department etc.\xc2\xa7 Maintain tools and equipment inventory for all departments and individual staff tools as applicable\xc2\xa7 Preparation of monthly staff cost centre allocation reports as required\xc2\xa7 Liaise with HR, Finance, and HSEQ related activities.\xc2\xa7 Liaise with contractors, suppliers and service providers as required.\xc2\xa7 Carryout any other related jobs assigned time to time by reporting ManagerQualificationsEducation/Qualifications
  • Bachelor Degree is a must and PG Degree is desirable.
  • Relevant professional certification is preferred.
Skills/ Competencies/ Experience\xc2\xa7 3 - 5 years relevant experience.
  • Customer Service Orientation, Result Orientation.
  • Interpersonal Skills and Negotiation Skills.
  • Numerical Ability and ethics and integrity.
  • Advanced communication skills in English (Oral and Written) and knowledge in other languages will be an advantage.
