As a Front Office Executive at Hatchfit Physiotherapy Clinic, you will undertake all reception and clerical duties, including greeting and welcoming guests, managing incoming and outgoing mail and packages, answering and directing calls, scheduling meetings, and coordinating office activities. You will be the face of the company for all visitors, responsible for creating a positive first impression. Responsibilities:
Greet and welcome guests.
Address questions and complaints from visitors.
Answer incoming calls, redirect them, or take messages as needed.
Receive and distribute letters and packages.
Prepare outgoing mail by drafting correspondence and securing parcels.
Check, sort, and forward emails.
Book meeting rooms as required.
Monitor office supplies, place orders when necessary, and maintain updated records and files.
Monitor office expenses and costs.
Deliver work to a high-quality standard.
Implement and apply office policies and procedures appropriately to all (internal and external customers), including Continuous Practice Improvement and Corporate Policy Manuals.
Meet agreed performance targets and standards.
Keep the front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.).
Undertake additional duties and special assignments as allocated by the Manager (e.g., travel arrangements, schedules).
Job Requirements: Qualifications/Experience:
Bachelors Degree.
Proven experience of at least 3 years as a front desk executive, preferably in the logistics industry.
Proficient in English (oral and written); ability to speak Arabic or other languages is an advantage.
Knowledge of office management and basic bookkeeping.
