Receptionist & Administrative Assistant



Overview of the Role



We are seeking a dynamic and professional

Receptionist & Administrative Assistant

to join our team. This role is at the heart of our office operations, requiring excellent client service skills, multitasking abilities, and a proactive approach. The ideal candidate will maintain a professional appearance, demonstrate strong organizational skills, and be comfortable handling a variety of administrative tasks.

Key ResponsibilitiesFront Office & Client Interaction



Serve as the first point of contact for clients and visitors, ensuring a warm and professional welcome.

Manage incoming calls, emails, and in-person inquiries in a courteous and timely manner.

Maintain and oversee the reception area and meeting rooms to ensure they are always presentable.

Coordinate visitor check-ins, provide refreshments, and assist with meeting room arrangements.

Administrative Support



Assist with office coordination, including scheduling meetings, handling courier services, and managing incoming/outgoing mail.

Prepare and organize

new hire welcome packs

for onboarding employees.

Monitor and maintain office supplies, including stationery and pantry consumables, ensuring timely reordering.

Liaise with IT support for any technical issues related to office equipment, including telephones and TV screens in meeting rooms.

Oversee general office maintenance and report any issues to the

Branch Manager

.

Finance & Documentation Support



Assist in the preparation of invoices and other financial documentation.

Handle petty cash management, including reconciliation and proper allocation of expenses.

Requirements



Prior experience

in a receptionist or administrative role, preferably within a professional services or immigration company.

Excellent communication skills

with a friendly and professional demeanor.

Ability to

multi-task

in a fast-paced environment while maintaining attention to detail.

Strong

organizational and time-management

skills.

A proactive,

can-do attitude

and a willingness to support the team.

Proficiency in Microsoft Office Suite

(Word, Excel, PowerPoint, Outlook).

Strong

interpersonal skills

and the ability to build positive relationships with colleagues and clients.
