, your role as Receptionist is essential in creating a positive first impression for clients, suppliers, and visitors. You'll be the central point of contact for walk-ins, phone calls, and online inquiries--ensuring they are handled professionally and efficiently. Working closely with our sales and estimation teams, you'll use CRM to track client interactions and keep the workflow smooth in our fast-paced print environment. Key Responsibilities:
Greet all visitors and clients warmly, including walk-ins for print inquiries or pickups
Answer and route incoming calls and emails, including client questions about services, pricing, or order status
Log client inquiries and interactions into the
CRM
, ensuring accurate handover to the appropriate team
Coordinate with the
Sales Team
to schedule client meetings or pass on leads
Forward relevant job requests or inquiries to the
Estimation Team
for quoting and follow-up
Schedule and manage internal appointments, client consultations, and team meetings
Handle incoming/outgoing mail and courier deliveries, including print job dispatches
Keep the reception area tidy, welcoming, and consistent with Printstore branding
Support administrative tasks such as data entry, print job forms, scanning, and document preparation
Monitor and reorder front desk and office supplies, including print materials and promotional items
Assist with internal communication, staff announcements, and the occasional team event setup
Requirements:
Previous experience in a receptionist or customer-facing role (print, design, or production industry a plus)
Experience using CRM systems such as
Odoo
, or willingness to learn quickly
Excellent communication and interpersonal skills--professional, clear, and friendly
Strong multitasking and organizational skills, especially in a time-sensitive environment
Proficiency in Microsoft Office (Word, Excel, Outlook)
Comfortable using phones, email, basic office equipment, and digital tools
Discreet and professional when handling sensitive or confidential information
