Duties (Responsibility)
Receive, direct and communicate telephone messages and fax messages
Meet and greet guests and guide them to respective cabins and conference rooms
Monitors the pick-up and delivers the mail
Sorting and distributing post
Arranging courier
Maintain the general filing system and file all correspondence
Assist in the planning and preparation of meetings, conferences and conference telephone calls
Maintain an adequate inventory of office supplies
Respond to public inquiries
Provide secretarial support & coordinate with HR for interviews and meetings
Provide administrative services for Human Resources & other Department that may require your support.
Duties (Accountability)
Employee Monthly Timesheet monitoring
Coordinate with production department & submit production report with efficiency of machines and employees
Qualifications:
• Education:
? Bachelor's degree and/or Diploma
• Experience:
? At least 2 years relevant experience in a same role or administrative support
• Skills and Competency:
? Strong computer skills with working knowledge of Microsoft Office (Word, PowerPoint, Excel & Outlook) required.
? Must enjoy learning new systems and be tech savvy
? Strong customer service mentality and ability to interface and work effectively with all levels of internal and external guest while maintaining a professional demeanour
? Great organization skills and attention to detail with an ability to maintain a high degree of accuracy.
? Prior front office/reception experience handling incoming calls utilizing a multi-line phone system preferred
? Demonstrated record and strong commitment to excellent attendance and punctuality
? Ability to graciously and calmly handle difficult or irate customers, demonstrating concern for their issues while assisting or redirecting as appropriate
? Demonstrated ability to deal with sensitive issues and information and maintain confidentiality
? Must have positive, enthusiastic attitude, strong sense of accountability/work ethic, and enjoy solving challenges
