Responsible for attending Incoming calls , assessing needs of clients and refer them to appropriate department.
Promptly dial outgoing calls for the officials as per their request and making a note in the telephone outgoing register.
Responsible for checking and verifying the telephone bills in time and track personal calls.
Prepare a monthly summary on intercom usage bills in coordination with IT dept and submit the same to the administrator on a monthly basis.
Responsible for visa renewal & cancellation including the typing for medical, Occupational Health Cards and maintaining an effective record in compliance with the Labour Law and Company policy.
Responsible for booking of Conference Room for various meetings and updating the booking chart accordingly.
Responsible for greeting & receive visitors, obtain name and nature of business, and direct them to the appropriate individuals.
Prepare courier documents with accurate receiver's information and arrange for collection.
Responsible for distribution of Cheques to the suppliers in coordination with Finance Department.
Verify courier bills department wise and forward the same for approval.
Receive sick leave applications from the employee and update in HRMS.
To update passport details in HRMS.
Request to apply or delete for medical insurance cards.
To manage activities related to resumption and to receive annual leaves.
To prepare flash reports every month for HR Dept
To check timesheets of employees working inside the plant for Mainline.
Responsible for various HR & Admin reports.
To manage and maintain stock for stationery items by coordinating with purchase team.
Ensure welcome screen is displayed on TV and availability of news papers in front office.
Other Admin related tasks:
Responsible for preparing Invoices for manpower suppliers , reconcile petty cash, prepare Admin team credit card Statement, food arrangements for guests, prepare Umra NOC, handle transmittal documents for Head Office & Oman unit, receiving fax through email and sending the same to concerned employees, prepare monthly birthday list and distribute carrefour birthday vouchers, update company telephone list and ensure its uploaded on the group portal, monthly distribution of ENBD Credit Card Statement to managers.
