The Receptionist serves as the first point of contact for patients and visitors at our Dermatology clinic in Dubai. The primary responsibility is to manage the front desk operations efficiently, providing exceptional customer service and administrative support to ensure a smooth patient experience.
Key Responsibilities:
1. Front Desk Management:
- Greet and welcome patients and visitors in a friendly and professional manner.
- Answer phone calls, respond to inquiries, and direct calls to appropriate staff members.
- Schedule and confirm appointments using the clinic's management software.
2. Patient Coordination:
- Assist patients with the registration process, ensuring all necessary forms are completed accurately.
- Manage patient files and records, ensuring confidentiality and compliance with data protection regulations.
- Coordinate with doctors and therapists to maintain an efficient flow of patients through the clinic.
3. Administrative Support:
- Handle billing and payment processes, including processing insurance claims and issuing receipts.
- Maintain the reception area, ensuring it is clean, organized, and stocked with necessary supplies.
- Manage incoming and outgoing mail and courier services.
4. Customer Service:
- Provide information about the clinic's services, treatments, and products.
- Address patient concerns and complaints promptly and professionally.
- Promote a positive and welcoming atmosphere in the clinic.
5. Communication:
- Communicate effectively with clinic staff to coordinate patient care and clinic operations.
- Assist in the preparation of clinic reports and documentation as required by the clinic manager.
Qualifications and Skills:
- Education: High school diploma or equivalent; additional qualifications in administration or healthcare management are a plus.
- Experience: Previous experience in a receptionist or administrative role, preferably in a healthcare industry only
- Skills:
- Excellent verbal and written communication skills in English; knowledge of Arabic or other languages is an advantage.
- Proficient in using office software (e.g., MS Office) and clinic management software.
- Strong organizational and multitasking abilities.
- Customer-oriented with a friendly and approachable
- Basic knowledge of Dermatology principles and treatments is preferred.
