Job Description

• Technical Inquiry Handling : Respond to initial technical inquiries from clients, vendors, and visitors, providing basic information about the company's engineering services and directing more specific technical questions to appropriate engineering staff.
• Appointment Scheduling for Engineers : Manage the calendars of engineering staff, scheduling appointments, meetings, and project deadlines as requested by engineers or project managers, ensuring efficient use of their time.
• Project Coordination Assistance : Assist project managers in coordinating project activities by organizing meetings, compiling project documents, and updating project schedules, ensuring timely completion of project deliverables.
• Technical Resource Management : Maintain an inventory of technical resources such as engineering textbooks, software licenses, and equipment manuals, ensuring easy access for engineering staff and efficient use of resources.
• Client Communication Support : Assist in communicating with clients regarding project updates, inquiries, and scheduling, providing excellent customer service and ensuring client satisfaction.
• Welcoming guests and clients
• Document Management : Organize and maintain engineering documents such as blueprints, technical drawings, and specifications, ensuring accurate version control and easy retrieval for engineering staff and clients.
• Vendor and Supplier Liaison : Interface with vendors and suppliers for engineering projects, managing purchase orders, coordinating deliveries, and resolving any issues or discrepancies in a timely manner.
• Safety Protocol Management : Assist in maintaining safety protocols and documentation, including tracking safety training for engineering staff, conducting safety audits, and ensuring compliance with industry regulations.
• Facilities Maintenance Coordination : Coordinate facilities maintenance activities such as repairs, maintenance, and cleaning services for the engineering office, ensuring a safe and comfortable work environment for staff and visitors.
• Administrative Support : Provide general administrative support to the engineering office, including answering phones, managing mail and email correspondence, filing documents, and assisting with special projects or tasks as needed.

These specialized tasks leverage the receptionist's role as the central point of contact for the engineering office, supporting the smooth operation of daily activities and facilitating effective communication both internally and externally.
