Job Description

Job Summary: The FM Soft and Hard Services Manager is responsible for overseeing the efficient delivery of both soft and hard facility management services. They ensure the maintenance and functionality of the physical infrastructure (hard services) and manage non-technical services (soft services) like cleaning, security, and landscaping to provide a safe, clean, and operationally effective environment.

Roles:

Hard Services (Technical):

• Maintenance Management:

Oversee preventive, corrective, and emergency maintenance of building systems (e.g., HVAC, electrical, plumbing, elevators).Monitor equipment performance and ensure compliance with operational standards. Coordinate with technical teams for repairs, upgrades, and refurbishments.

• Asset Management:

Maintain an updated asset register and oversee lifecycle management of critical equipment. Implement energy management and sustainability strategies to optimize costs.

• Compliance and Safety:

Ensure all systems and installations meet local regulations and safety standards. Conduct regular audits and inspections for hard services.

Soft Services (Non-Technical):

• Service Delivery Management:

Supervise cleaning, security, landscaping, pest control, and waste management services. Ensure a high standard of cleanliness, safety, and orderliness throughout the facility.

• Vendor and Contractor Oversight:

Source, manage, and evaluate service providers for soft services. Negotiate contracts and monitor adherence to service-level agreements (SLAs).

• Customer Experience:

Ensure the soft services team enhances the overall experience for occupants and visitors. Handle feedback and complaints related to soft services promptly.

• General Management:

Develop and manage budgets for both hard and soft services. Identify opportunities to optimize costs without compromising service quality.

• Team Leadership:

Lead and train teams across both hard and soft services functions. Foster a collaborative culture that prioritizes safety, efficiency, and service excellence.

• Reporting and Documentation:

Prepare performance and compliance reports for management. Maintain thorough records of maintenance schedules, vendor contracts, and inspections.

Experience:

• Minimum of 5+ years in facility management with a focus on both hard and soft services.
• Proven experience managing multidisciplinary teams.
• Technical Expertise: Knowledge of building systems, maintenance practices, and non-technical services.
• Certifications: Certifications like IFMA, BIFM, or technical qualifications in engineering are preferred.
• Soft Skills: Strong leadership, problem-solving, and communication abilities.
