General Responsibilities
• Office Operations Management:
• Oversee daily office activities and ensure smooth operation of office functions.
• Implement and maintain office procedures and policies.
• Manage the use of office space and ensure it is utilized efficiently.
• Staff Supervision:
• Supervise administrative staff and coordinate their tasks.
• Assist with onboarding and training new employees.
• Schedule and oversee staff activities, ensuring that deadlines and office standards are met.
• Facilities Management:
• Ensure that office equipment, including computers, printers, and telephones, are in good working order.
• Manage relationships with service providers and contractors for maintenance and repairs.
• Oversee the cleanliness and organization of the office environment, including common areas and meeting rooms.
• Inventory and Supplies Management:
• Monitor and manage office supplies inventory, including stationery and other essential items.
• Order and restock supplies as necessary and manage vendor relationships.
• Track and manage office equipment and ensure proper usage and maintenance.
• Health, Safety, and Compliance:
• Ensure the office complies with health and safety regulations and policies.
• Conduct regular safety inspections and address any hazards or issues.
• Implement and enforce emergency procedures and protocols.
• Administrative Support:
• Provide administrative support to senior management or departments as needed.
• Coordinate and schedule meetings, conferences, and events.
• Prepare and manage office documentation, including reports and correspondence.
• Customer and Visitor Relations:
• Greet and assist visitors and clients, ensuring they have a positive experience.
• Manage meeting room bookings and arrangements for client meetings.
• Handle inquiries and provide information to visitors and staff.
• Budget Management:
• Assist in managing the office budget, including tracking expenses and processing invoices.
• Implement cost-saving measures without compromising on quality or efficiency.
• Technology and Systems Management:
• Oversee the implementation and maintenance of office technology and systems.
• Coordinate with IT support for troubleshooting and resolving technical issues.
• Ensure that software and hardware are up to date and functioning properly.
