JOB SUMMARY



The Finance and Admininistration Assistant Manager - EMEA will collaborate with the GM EMEA, Finance Director, and CEO. The primary responsibility is to manage Embed's resources effectively to achieve operational results. This role oversees day-to-day financial management, reporting, and supports effective administration. The job holder will work closely with the team to ensure all financial and administrative activities align with Embed's strategic objectives.





KEY RESPONSIBILITIES


Financial Management and HR




Manage treasury operations, including collections and payment in collaboration with key stakeholders. Raise sales invoice and post supplier invoices where necessary, including support/SLA dated payment control AR follow up Project cost reconciliation and timely settlement of bills, including setting up payments for release in bank account Assist in month end process and balance sheet reconciliations and commentary around financial performance Review and approve all operational invoices and ensure they are submitted for payment Assisting as necessary with processing of expense claims and credit cards. Provide cash flow projections for the region Forecast requirements, assist in the preparation of annual budgets; schedule expenditures; Analyse financial variances, actual vs budget, month on month analysis; initiating corrective actions in conjunction with Global Executive team Examine and evaluate financial performance and suggest how we can improve profitability Liaise with key stakeholders to produce an accurate budget for EMEA Prepare quarterly management accounts and projections and other relevant reports Manage all statutory, direct and indirect tax reporting and work with external service providers Calculate Intercompany recharges and prepare Intercompany agreements as required. Ensure Intercompany transaction adhere to Embed's Intercompany policy Other accounting tasks as necessary Payroll processing Liaise with HR and be the local point of contact in line with Medical and travel insurance, employee files (e.g EID, staff insurance cards etc), recruitment and other confidential information. Assist in the recruitment, selection, onboarding, counsel and discipline of employees



Operational Management




Organize smooth and adequate flow of information within the company to facilitate business operations Support the management of operational performance across multiple divisions to ensure achievement of KPIs, budgets and contractual service level agreements. Analyze process workflow, employee and space requirements and equipment layout; implement changes Maintain safe and healthy work environment by establishing, following and enforcing standards and procedures, complying with legal regulations Overtime, serve as primary point of contact when there is customer issues related to equipment quality, customer service, or accidents and mishaps on-site. Ensure all operations are carried on in an appropriate, cost-effective way Execute operational management systems, processes and best practices alongside divisional exec team



Compliance and Administration




Coordinate with external service providers on statutory and tax matters Handle all admin duties related to government and freezone activities (DMCC) Review legal entity requirements across the region and opportunities to streamline and grow customer base Ensure compliance with all local regulations including those relating to licensing and registration Manage all license and business compliance matters Implement adequate controls through departments to safeguard company assets Controls include verification, insurance, custodianship, proper utilisation and maintenance.




REQUIRED SKILLS AND EXPERIENCE


Strong Project Management Skills Strong Relationship Management Experience: 5 years in Finance and Operations role Effective communication and influencing skills with both external and internal customers Highly effective planning, organizing and problem-solving skills together with the ability to lead, motivate and influence others. Demonstrated experience managing multiple tasks and maintaining focus on priorities. Ability to deploy a best practice operations management function. Experience in driving company objectives through engagement of various key internal and external stakeholders. Capability to lead and manage change. Strong written and verbal communication skills. Strong attention to detail. Demonstrated lived experience through start up and/or scale up stage. Knowledge and understanding of the challenge and excitement of rapid scale. Experience in an ecommerce environment will be highly regarded
