Job Title: Finance Administrator

Job Overview:

The Finance Administrator will be responsible for assisting with the daily financial operations .

This includes overseeing billing and invoicing, maintaining financial records, processing payments, and providing administrative support to the finance team. The ideal candidate will have strong organizational skills, attention to detail, and a basic understanding of accounting principles.

Key Responsibilities:

1. Billing & Invoicing :

Generate and send invoices to customers in a timely manner based on service contracts and delivery records.

Monitor payments and ensure all invoices are settled within the agreed-upon terms.

Address discrepancies or disputes with clients regarding billing.

2. Accounts Receivable :

Track payments from clients and update accounts accordingly.

Assist with collections on overdue accounts by sending reminders and coordinating payment arrangements.

Prepare and maintain reports on accounts receivable status.

3. Accounts Payable :

Process supplier invoices and ensure timely payment for services rendered.

Ensure accuracy in payment records and reconcile supplier accounts.

4. Financial Record Keeping :

Maintain accurate and up-to-date financial records, ensuring that they are compliant with company policies and regulations.

Support month-end and year-end closing procedures.

5. Expense Management :

Monitor and track company expenses, including transportation, fuel, and operational costs.

Provide support in budgeting and forecasting by tracking expenses against set budgets.

6. Payroll Support :

Assist with payroll administration, ensuring accurate recording of hours worked and any deductions.

Maintain employee records for payroll purposes.

7. Reporting & Analysis :

Assist in preparing financial reports for management, including revenue, expenses, and profit margins.

Analyze financial data and provide insights to improve the company's financial efficiency.

8. Audit & Compliance Support :

Assist in audits by providing necessary documentation and supporting materials.

Ensure compliance with tax laws and company policies related to financial processes.

9. Customer and Supplier Communication :

Communicate effectively with customers regarding payment status and issues.

Coordinate with suppliers for payment processing and resolve any discrepancies.

10. General Administrative Support :

• Provide general administrative support to the finance department, including organizing financial documents, maintaining filing systems, and coordinating meetings.

Required Skills & Qualifications:

• Education : A degree in Finance, Accounting, Business Administration, or related field. A diploma or certification in accounting may also be beneficial.
• Experience : 1-3 years of experience in finance or administrative roles, ideally in logistics, delivery services, or similar industries.
• Technical Skills :
• Proficiency in accounting software (e.g., QuickBooks, Xero, or SAP) and Microsoft Excel.
• Familiarity with basic financial procedures such as invoicing, payments, and reconciliations.
• Attention to Detail : Strong ability to catch errors in invoices, payments, and financial records.
• Communication Skills : Ability to communicate financial information clearly to both internal and external stakeholders.
• Problem Solving : Ability to resolve discrepancies and issues related to billing or payments effectively.
• Time Management : Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
• Organizational Skills : Efficient in organizing financial data, managing records, and maintaining an orderly system for financial documentation.

Preferred Qualifications:

• Knowledge of the delivery or logistics industry is an asset, as it will aid in understanding the company's specific financial needs.
• Experience with financial reporting and forecasting .
• Basic knowledge of tax regulations applicable to the delivery or transportation sector.

Working Conditions:

• Full-time position, typically during office hours (10 AM to 6 PM).
• May require occasional overtime to meet deadlines during peak periods or month-end closing.
