We are seeking a highly skilled and dedicated Female Secretary to join our dynamic team at a Technical Services Company based in Dubai. As a Secretary, you will be responsible for managing all office-related tasks, including inputting and outputting work, filing reports, sorting accounting documents, and providing comprehensive support to the company's operations. The ideal candidate should be a super hard worker, capable of working efficiently under extreme pressure.
Responsibilities:
Office Administration: Handle all administrative tasks, including managing calendars, scheduling appointments, and coordinating meetings.
Documentation Management: Create and maintain documents, reports, and correspondence, ensuring accuracy and confidentiality.
Data Entry: Accurately input data into various systems, databases, or spreadsheets as required by different departments.
Filing and Organization: Maintain an efficient filing system to ensure easy retrieval and storage of documents.
Communication Support: Assist with internal and external communication, including answering phone calls, taking messages, and responding to emails.
Accounting Assistance: Collaborate with the accounting department to sort and organize financial documents, invoices, and expenses.
Report Generation: Prepare reports, presentations, and spreadsheets for management, clients, and stakeholders.
Multitasking: Manage multiple tasks simultaneously, prioritize effectively, and meet deadlines while working under extreme pressure.
Confidentiality: Handle sensitive information with utmost confidentiality and ensure adherence to data protection policies.
Support to Management: Provide general administrative support to senior management, including travel arrangements, expense reports, and other ad hoc tasks as needed.
Requirements:
Education: Bachelor's degree in business administration, secretarial studies, or a related field is preferred.
Experience: Proven experience as a Secretary or in a similar administrative role, preferably in a fast-paced office environment.
Technical Skills: Proficient in using office productivity software (e.g., MS Office Suite, document management systems), and familiarity with accounting software is a plus.
Organization and Attention to Detail: Excellent organizational skills, with the ability to maintain accurate records, prioritize tasks, and pay attention to detail.
Communication Skills: Strong written and verbal communication skills in English; additional language proficiency is advantageous.
Time Management: Exceptional time management skills and the ability to work efficiently under tight deadlines and high-pressure situations.
Problem-Solving: Demonstrated ability to identify and resolve problems independently, making sound decisions based on the situation.
Professionalism: Exhibit a high level of professionalism, discretion, and ethical behavior, maintaining confidentiality at all times.
Interpersonal Skills: Excellent interpersonal skills with the ability to work collaboratively and establish positive working relationships with colleagues at all levels.
Adaptability: Willingness to adapt to changing priorities and responsibilities as per the company's needs.
