As Front Desk Representative; you will play an essential role in ensuring a smooth customer experience, handling client inquiries, and managing bookings.
KEY RESPONSIBILITIES AND TASKS
1. Customer Service & Reception
Greet clients warmly and assist them with inquiries, memberships, and services.
Handle inquiries about gym services, pricing, and membership plans.
Assist new visitors with registration and paperwork.
Provide directions to locker rooms, workout areas, or trainers
Ensure professional and friendly communication when interacting with clients in person, by phone, and via email.
Ensure a polite, professional, and welcoming approach when dealing with all clients.
Follow-up with clients is done smoothly and professionally to enhance customer satisfaction.
Maintain positive relationships with clients to improve retention and encourage long-term memberships.
2. Membership Sales & Renewals
Explain membership packages, promotions, and discounts.
Process new memberships and renewals.
Upsell personal training or premium services.
Keep track of membership expirations and follow up with clients.
3. Appointment & Class Scheduling
Book personal training sessions and group classes.
Manage reservations and cancellations.
Notify clients of schedule changes.
Follow-Up & Client Engagement
4. Payment Processing & Billing
Handle cash, credit card, and online transactions.
Issue invoices and receipts for gym memberships and services.
Track pending payments and follow up on dues.
5. Facility Maintenance & Cleanliness Oversight
Ensure the front desk, waiting area, and common spaces are clean.
Report equipment malfunctions to management.
Stock up on towels, water, and gym essentials if required.
6. Administrative Tasks & Accounting Support
Maintain client records, attendance tracking, and required documentation in an organized manner.
Ensure efficient handling of client inquiries, bookings, and payments at the front desk.
Answer phone calls and emails promptly.
Prepare and organize all documents for the accounting company, including:
Sales invoices for memberships, personal training, and other services.
