WUD Flowers is looking for a highly organized and detail-oriented
Administrative Officer
to oversee office operations, document management, and government-related processes. The ideal candidate will ensure smooth administrative workflows, maintain compliance with regulatory requirements, and support the day-to-day functions of the company.
Key Responsibilities:1. Document Management:
Maintain, organize, and archive both physical and electronic company records and documents.
Coordinate with the
Public Relations Officer (PRO)
and
warehouse management
for license renewals and necessary documentation.
Assist in
company license renewals
and ensure all legal paperwork is up to date.
2. Communication & Correspondence:
Handle internal and external communication, including
phone calls, emails, and correspondence
.
Distribute notices, announcements, and updates to employees as required.
Coordinate with suppliers regarding
payments and maintenance requirements
.
3. Meeting Coordination:
Organize and schedule
meetings, appointments, and conference calls
.
Ensure effective communication and coordination among
team members and stakeholders
.
4. Government & Compliance Affairs:
Liaise with
government authorities and regulatory bodies
to ensure compliance with local laws and regulations.
Process and renew
staff visas, labor cards, and other official documents
.
Handle all
PRO-related
tasks, including legal and government documentation.
Maintain and renew all
company licenses, permits, and regulatory certifications
.
Track expiration dates and proactively handle renewals to ensure seamless operations.
Work closely with
legal teams and auditors
as required.
Track, prepare, and complete all tasks successfully by coordinating with
PRO
.
5. Office & Inventory Management:
Order and maintain
office supplies
, including pantry and stationery items.
Keep records of
vehicle usage, maintenance, and fuel consumption
.
Coordinate with
drivers
and ensure adherence to company policies and traffic regulations.
Oversee the
renewal of all office-related items
, including
vehicles, insurance, and equipment maintenance
.
6. Visa & Employee Documentation:
Manage all
visa applications and renewal processes
.
Maintain digital and physical records of all
employee legal documents
.
Requirements:
Bachelor's degree in
Business Administration, Management, or a related field
.
Minimum
2-3 years of experience
in administration, office management, or a similar role.
Strong knowledge of
UAE labor laws and visa processing
.
Excellent
organizational and time-management skills
.
Proficiency in
Microsoft Office (Word, Excel, Outlook)
and document management systems.
Strong
verbal and written communication skills
in English
Ability to handle
multiple tasks and work under pressure
.
Job Type: Full-time
Pay: AED2,500.00 - AED3,500.00 per month
