We are currently seeking a dedicated and proactive Facilities Coordinator to join our Middle East team. This pivotal role will support our school operations by ensuring facilities are managed to the highest standards, contributing to an optimal environment for our students and staff.
Role Summary:
The Facilities Coordinator will be responsible for managing staff accommodations, facility service contracts, and regulatory compliance for COG2 schools in the region. This includes coordinating facility projects, overseeing utility consumption, and acting as the primary contact for commercial services such as uniform, catering, and transport. The role requires strong organisational skills, attention to detail, and a proactive, solution-oriented approach.
Key Responsibilities:
Facility Services Contracts: Manage contracts for services including cleaning, security, utilities, transport, and catering. Ensure all contracts are compliant, up-to-date, and meet legal requirements.
Staff Accommodations: Identify suitable apartments within budget, oversee allocations, and manage maintenance of housing facilities to meet company standards.
Commercial Services: Act as the main point of contact for uniform, catering, and transport contracts; monitor monthly sales reports and resolve service-related issues.
Utility Management: Track utility consumption across schools, addressing any usage discrepancies.
Regulatory Compliance: Maintain all regulatory documentation, ensuring permits, licenses, and certifications are current and accessible.
Facility Projects: Support planning and coordination for renovations, relocations, and new constructions. Provide project tracking for summer capital expenditure (CapEx) initiatives.
CAFM System Monitoring: Monitor the CAFM system for reporting and maintenance purposes.
Documentation & Administration: Maintain accurate records for occupancy, lease agreements, utility accounts, and other facilities documentation.
The ideal candidate will have a professional approach, combining resilience and adaptability to meet the needs of a fast paced environment. You will work independently, support school teams, and build positive relationships with staff, vendors, and stakeholders.
Essential Skills and Experience:
Qualifications: Bachelor's degree in Facilities Management, Business Administration, or related field.
Experience: 3+ years in facilities, property, or project management; experience in educational or multi-site environments is desirable.
Technical Skills: Proficiency in Microsoft Office Suite and familiarity with CAFM systems.
Interpersonal Skills: Strong communication and collaboration skills; able to work effectively with stakeholders at all levels.
Other: Understanding of regulatory requirements in facilities management and the ability to manage multiple tasks efficiently.
