HR Responsibilities:
• Advanced Recruitment and Talent Acquisition:
• Lead the recruitment process, from job posting and candidate sourcing to final interviews and selection.
• Develop strategic recruitment plans to meet organizational needs, including talent pool development and employer branding.
• Manage the integration of new hire information into HRIS (Human Resource Information System), ensuring a seamless onboarding experience.
• Employee Performance and Development:
• Oversee the performance management process, including setting performance goals, conducting performance reviews, and advising on career development.
• Coordinate employee training programs, workshops, and continuous development initiatives, ensuring alignment with organizational goals.
• Analyze employee performance trends and recommend improvements in training and development programs.
• Compensation and Benefits Administration:
• Manage and evaluate the company's compensation and benefits programs to ensure competitiveness and alignment with market standards.
• Collaborate with finance to ensure accurate and timely payroll processing, including handling complex salary structures, bonuses, and incentive programs.
• Advise employees on benefits and compensation, assisting in complex queries regarding tax, deductions, and insurance.
• Employee Relations and Conflict Resolution:
• Act as a senior advisor in resolving complex employee relations issues, guiding management through disciplinary actions, grievances, and conflict resolution.
• Provide advice on labor laws, employee rights, and workplace regulations, ensuring compliance.
• Develop and implement employee engagement initiatives and programs to improve job satisfaction and reduce turnover.
• Legal Compliance and Policy Development:
• Ensure HR policies and procedures are updated regularly to remain compliant with local, regional, and international labor laws and regulations.
• Provide expert guidance on legal HR matters, including termination, workplace investigations, and employee disputes.
• Lead audits of HR practices to ensure alignment with internal and external standards, such as ISO certifications or industry-specific regulations.
• Succession Planning and Organizational Development:
• Lead the development and implementation of succession planning strategies, identifying and nurturing talent for key leadership roles.
• Collaborate with senior leadership to align HR strategies with business objectives, focusing on workforce planning and development.
• HR Data and Analytics:
• Utilize advanced HR analytics tools to generate insights into employee trends, turnover rates, and workforce efficiency.
• Create detailed HR reports for senior management, providing data-driven recommendations for improving employee satisfaction and business outcomes.
Document Control Responsibilities:
• Advanced Document Management Systems (DMS):
• Lead the design, implementation, and ongoing optimization of document management systems (physical or digital), ensuring streamlined access, storage, and security.
• Integrate document management processes with HR systems to ensure seamless data sharing and record-keeping.
• Maintain a thorough and up-to-date index of all documents related to HR policies, contracts, training, and employee files.
• Compliance and Auditing:
• Ensure that all documents meet compliance requirements, including legal, industry, and internal standards.
• Conduct periodic document audits to ensure accuracy and compliance with legal and regulatory obligations.
• Lead external audits related to HR and document control, preparing necessary documentation and reports for auditors.
• Document Security and Confidentiality:
• Oversee the security of sensitive documents, including employee records, financial data, and confidential company contracts.
• Implement encryption and access controls to prevent unauthorized access to confidential documents.
• Create and enforce policies around document classification and handling, particularly for highly sensitive data.
• Process Optimization and Automation:
• Lead initiatives to automate and streamline document management processes, reducing manual handling and improving efficiency.
• Recommend and implement advanced technologies (e.g., AI, machine learning) to enhance document tracking, approval workflows, and record retrieval.
• Oversee the implementation of electronic signatures, e-filing systems, and other digital tools to improve document flow.
• Document Retention and Disposal Strategy:
• Develop and enforce a comprehensive document retention and disposal policy in accordance with organizational and legal guidelines.
• Ensure that outdated or obsolete documents are securely disposed of in compliance with data protection laws.
• Maintain a secure archiving system for both physical and digital documents to ensure the integrity and long-term accessibility of key company records.
• Training and Support for Document Management:
• Train other staff members on best practices for document control, ensuring they follow procedures for filing, retrieving, and updating documents.
• Provide ongoing support to departments in managing their document-related needs, ensuring they are aware of any changes in compliance or process.
