Job Overview
• We are seeking an experienced Project Manager to lead the development, planning, budgeting, and production of events
• The successful candidate will work closely with internal and external departments to ensure seamless execution and will be responsible for overseeing all aspects of event management, from conceptualization to completion.
Key Responsibilities:
• Event Concept Development and Planning:
• Develop comprehensive project plans in line with organizational processes and policies.
• Collaborate with various teams (Media/Marketing, Design, IT, Legal, Research & Development, Production, Procurement) to meet project milestones and timelines.
• Project Management and Reporting:
• Maintain ongoing progress reports and produce periodic status updates.
• Ensure clear and consistent communication with clients from both the government and private sectors.
• Budgeting and Cost Management:
• Work closely with the event director to set event budgets and supervise event expenditures.
• Implement strategies to increase revenue and manage costs effectively.
• Sales and Business Development:
• Identify and pursue new business opportunities to expand the client base and event portfolio.
• Develop and implement sales strategies to drive event revenue and secure sponsorships, partnerships, and exhibitor participation.
• Build and maintain strong relationships with potential clients and partners to foster business growth.
• Proposal Creation and Client Engagement:
• Develop customized proposals for government, semi-government, and private organizations based on RFP requirements.
• Maintain strong client relationships to secure ongoing partnerships and collaborations.
• On-Site Event Supervision:
• Oversee all phases of the event, from setup to teardown, ensuring adherence to health and safety standards.
• Manage on-site logistics and resolve any issues that arise promptly.
• Marketing and Promotion:
• Collaborate with the marketing team to create and implement tailored event marketing strategies.
• Sponsor, Partner, and Exhibitor Management:
• Manage relationships with sponsors, partners, and exhibitors, ensuring all deliverables and requirements are met.
• Handle necessary permits and requirements related to sponsorships and partnerships.
• Supplier and Production Oversight:
• Manage supplier relationships, oversee production, supervise the quality of materials, conduct negotiations, and provide detailed briefings.
• Permits and Insurance:
• Process event permits, speaker permits, and event insurance to ensure all necessary documentation is in place.
• Research and Program Development:
• Conduct research to develop scientific programs, including sourcing speakers, determining relevant topics, and establishing event themes.
Qualifications and Skills:
• Proven experience in event operations and management.
• Strong project management and organizational skills.
• Excellent communication and client management abilities.
• Ability to work collaboratively with various teams and stakeholders.
• Experience in budgeting and cost management.
• Ability to supervise and ensure health and safety compliance during events.
• Skilled in proposal development and responding to RFPs.
• Strong negotiation and supplier management skills.
• Proficiency in relevant event management systems.
• Bilingual proficiency in English and Arabic is highly desirable.
