DMGT Manages a diverse, multinational portfolio of companies with total revenues of \xc2\xa32bn, that provide businesses and consumers with compelling information, analysis, insight, events, news and entertainment.Job Purpose:This is a hands-on, varied administrative role to ensure the smooth running of events - specifically for our confirmed clients and partners from the moment of signing to end of the event.You will need to be methodical and organised with a high attention to detail. The role will be customer service oriented serving both internal and external customers therefore you will need to be a creative problem solver and be able to work to tight deadlines and under pressure. You will be required to work closely with the Exhibitions Administration Manager, contribute to Sales, Operations, Finance, Marketing and the added-value elements, as well as assist in managing the CRM (customer relationship management) databases.As part of working for an exhibition organiser you will need to be flexible and be able to work weekends in the lead up and on-site during the exhibitions with a real desire to help out and contribute to the team.Job Context:
Administration - This will involve working closely with the Exhibitions Administration Manager on day to day admin functions.
Sales - Dealing with enquiries and supporting the sales team
Operations - Assisting the operations department with exhibitor list and floorplan changes
Finance - Assisting with amendments and changes on contracts updated on the CRM platform.
:
Assist in Managing & maintaining CRM system for Exhibitors (Salesforce).
Assist in the preparation of Onsite information & requirements. (stationery, refreshments, files etc)
Onsite: Handle enquiries regarding stands, payment and other services
Assist in preparation of Visa letters for travel to Saudi
Execute chases by email & telephone
File comparisons to Database and floorplan for accuracy.
Organize printing of floor plans.
Prepare letters for Exhibitors/Suppliers for Shipment Clearances & Visa requirements.
Perform general clerical duties to include but not limited to: photocopy, filing & courier.
Assist in covering Reception for an hour once a week.
Assist in helping the Sales, Operations and Marketing Departments deliver value added exhibitor promotion.
Minimum Experience:
Minimum 1 year General Administration Experience
Clear and effective communication skills that are essential for liaising with internal departments and external suppliers / vendors
Advanced computer literacy skills in MS Office Packages (Word, Excel, PowerPoint and or any other CRM software), Internet & Emailing
Behavioural Competencies :
Able to prioritise tasks within a given time frame and get things done
Working effectively as part of a team
Able to work independently with minimal supervision & to multi-task frequently
Good organizational and planning skills
Meticulous attention to detail
