Our reputed company is in need of 1 Executive Secretary, further details are mentioned below: QUALIFICATIONS: Extensive knowledge of clerical and secretarial principles Minimum 2 years of experience as an Executive Secretary, Administrative Assistant, or similar secretarial or administrative support role, supporting senior executives (background from FMCG is a plus) Bachelor's degree in business administration, Office Management, or any other related course Proficient in MS Office such as word, excel & PowerPoint In-depth understanding of office administration and basic accounting Excellent organizational and time-management skills High level of professionalism, integrity, and discretion in handling sensitive information. Excellent written and verbal communication skills. Attention to detail and accuracy in handling tasks and documents. RESPONSIBILITIES: Answering phones and directing the calls to the concerned person Greeting visitors and directing them to the appropriate place Managing multiple or complex calendars for meetings, travel and personal commitments for in-office professionals and a special visitor Creating and Disseminating memos, reports and agendas as needed Negotiating with suppliers and vendors to gather quotes, order supplies and maintain office inventory Preparing financial statements, invoices, letters and statements as needed Handle confidential documents ensuring they remain secure Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders Maintain electronic and paper records ensuring information is organized and easily accessible Providing secretarial and administrative support to the executive team, including managing schedules, meeting planning, and document preparation.
