Executive PA PURPOSE OF THE POSITION The Executive Assistant will provide high-level administrative support, ensuring smooth and efficient operations. This role requires discretion, flexibility, and the ability to handle sensitive and confidential information. The ideal candidate will be proactive, organized, and capable of multitasking in a fast-paced environment. QUALIFICATIONS / CERTIFICATION / LICENSES . Bachelor's degree in business administration, Management, or a related field preferred. EXPERIENCE . 3+ years of experience as an Executive Assistant, preferably supporting C-level executives or UHNW individuals. . Experience in managing international travel and itineraries. . Experience managing commercial projects . Familiarity with luxury lifestyle management and concierge services. . Proficiency in a second language is a plus. JOB RESPONSIBILITIES Administrative Support: . Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software . Exceptional organizational and time-management skills. . Strong written and verbal communication skills. . Manage and maintain the busy calendar, including scheduling meetings, appointments, and travel arrangements. . Coordinate logistics for meetings, conferences, and events, both domestically and internationally. . Taking minutes and creating action lists. . Prepare and edit correspondence, communications, presentations, and other documents. . Conduct research, compile data, and prepare reports for review. . Handle incoming and outgoing communications, including emails, calls, and mail, ensuring prompt and professional responses. Personal Assistance: . Assist with personal tasks and errands as needed, including managing personal schedules, appointments, and travel. . Coordinate with household staff and manage personal projects and events. . Handle confidential and sensitive information with discretion. . Flexibility to work outside regular business hours - 24/7 on call. . High level of discretion and confidentiality. Project Management: . Assist in the planning and execution of special projects and initiatives. . Track project progress and provide updates to the executive. . Coordinate with internal and external stakeholders to ensure project timelines are met. . Ability to work independently and handle multiple tasks simultaneously. . Relationship Management: . Build and maintain relationships with key business contacts, clients, and stakeholders. . Act as a liaison between the executive and internal/external parties. .
