This position plays a critical role in ensuring the smooth operation of the CEO's missions and the organization as a whole. This role requires a highly organized, proactive individual with excellent communication skills, able to handle conversations with C-level managers and high-profile customers, plus the ability to manage a variety of task with discretion. FRENCH language fluent is mandatory.
Responsibilities:
• Manage and maintain the CEO's calendar, including scheduling meetings & appointments
• Coordinate and prepare materials for meetings, presentations , PPT...
• Assist, on a daily basis, the French and Swiss head of office with any admin/HR related task
• Handle confidential information with utmost discretion. (financial statements, relationship with the owners of the company...)
• Draft, review, and send communications on behalf of the CEO
• Provide personal support including handling personal errands and coordination personal schedules.
• Manage personal correspondence and communications
• Serve as the first point of contact for the company employees and clients, using a warm and professional communication tone.
• Manage the HR aspect of our business with our tool: track expenses, validate time-off and sick leaves requests, Visa renewal and any admin task related to our staff
• Help the various head of department with new members recruitment and onboarding
• Help in shaping a new company policy document with our SOPs
• Assist with office management task, such as ordering supplies and managing maintenance request
• Manage reception and shipment of small packages
• Relevant experience may be considered in lieu of a degree.
• Minimum experience of 3 to 5 years in executive role, personal assistant or office management.
• Excellent organizational and time management skills
• Strong Written and verbal communications (FRENCH MANDATORY)
• Proficiency in Microsoft office Suite
• With UAE/GCC experience preferred
