Position Overview:
The Executive Assistant will provide high-level administrative support to the CEO, ensuring the efficient operation of the executive office. This role requires exceptional organizational skills, discretion, and the ability to handle multiple tasks in a fast-paced environment.
Key Responsibilities:
• Administrative Support: Manage the CEO's calendar, schedule appointments, and coordinate meetings. Prepare agendas, attend meetings, and take minutes.
• Communication Management: Screen and prioritize emails, phone calls, and other communications. Draft, proofread, and edit correspondence and reports.
• Project Coordination: Assist with the planning and execution of company projects and initiatives. Track progress and ensure deadlines are met.
• Travel Arrangements: Organize and coordinate travel itineraries, accommodations, and logistics for the CEO.
• Meeting Planning: Plan and coordinate company events, board meetings, and other functions as required.
• Document Management: Maintain confidential files and records. Prepare and review reports, presentations, and other documents.
• Liaison Role: Act as a liaison between the CEO and internal/external stakeholders, ensuring effective communication and relationship management.
• Office Management: Oversee the executive office operations, including supplies management and vendor relations.
• Special Projects: Undertake special assignments and projects as directed by the CEO.
Qualifications:
• Education: Bachelor's degree in Business Administration, Communications, or a related field preferred.
• Experience: Minimum of 5 years of experience as an executive assistant or in a similar administrative role, preferably in the construction or related industry.
• Skills:
• Excellent organizational and time-management skills.
• Strong written and verbal communication abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Strong problem-solving skills and attention to detail.
• Ability to work independently and as part of a team.
• Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.
