Executive Assistant to CEO Location: Dubai Salary: Competitive THE ROLE: The worlds largest provider of workplace solutions has an opening for an Executive Assistant. The successful candidate will provide high quality professional Personal support to the Leadership Team. Responsibilities include providing proactive, timely and effective administrative professional support across all aspects of delivery, and interfacing with European organisation. The successful candidate will thrive in a dynamic, fast-paced environment and will ideally have previous extensive Personal Assistant experience at senior or executive level. KEY RESPONSIBILITIES:
Manage incoming communication (including voicemail and email) and ensure that all mail is processed in an accurate and timely manner
Managing the diary of the Managing Director to maximise efficient use of time
Managing small project/and project tasks from larger projects
Plan travel including international travel and ensure that all work activities are scheduled effectively
Communicate on a daily basis with the Managing Directors, ensuring a high level of awareness of current priorities, and whereabouts
Liaison with various internal and external employees, suppliers, and clients
Co-ordinate the organisation of external and internal events. This will involve organising attendance at conferences and producing the presentation materials.
Preparation and distribution of presentations/minutes of Directors meetings. Typing of general correspondence and preparation of pitches
Type, amend, format, and distribute reports and other materials
Analyse basic data, including the assessment of validity of the source information, to extract key points and report on these
Ad hoc duties - including filing, photocopying, opening and distributing the post and archiving
Supporting the Regus European Leadership team with basic office admin activities, eg room booking, stationery etc.
Need to work flexibly and with resilience in a fast-paced environment.
Differentiating between business critical priorities and other priorities in the management of the diary.
Need to be highly organised, confidential, and systematic in working.
Strong understanding of principles of the representation of the tone of the Leadership Team.
Plan, organise and prioritise workload on a daily basis to meet deadlines in a fast-paced environment with multiple priorities
Plan ahead to meet and anticipate future situations/issues.
Handling of all incoming and outcoming post and occasional translation from French into English.
Creation and preparation of documents ready to be signed.
Tracking and partly pre-editing of incoming mails.
Education
Higher education preferred and/or equivalent professional experience.
Essential experience and job requirements
Confidential, courteous and responsive with excellent computer proficiency.
Solid experience in administration with excellent organisational skills and attention to details.
Ability to communicate at multiple levels in the organisation.
Experience and good track record in balancing complex schedules, meetings logistics and priorities..
Ability to manage confidential documents.
- Demonstrated ability to use Microsoft Office at an advanced level; Microsoft Outlook, Word, Excel, -Power Point and web-based applications.
Excellent listening, oral and written communication skills.
Excellent organizational and multi-tasking skills.
High resistance to stress and time pressure.
