Act as the primary point of contact between the CEO and internal/external stakeholders, managing communications and scheduling meetings.
Coordinate and prioritize the CEOs calendar, ensuring timely attendance to appointments, meetings, and events.
Prepare and organize documents, presentations, and reports for executive meetings, utilizing digital tools for efficient workflow management.
Research and gather information on various topics to support decision-making processes and strategic initiatives.
Manage travel arrangements and accommodations for the CEO, optimizing itinerary planning and expense tracking through digital platforms.
Assist in basic financial tasks such as expense tracking, invoice processing, and budget monitoring, supporting the finance team as needed.
Utilize AI-driven solutions for data analysis, task automation, and information management to streamline administrative processes.
Handle confidential and sensitive information with discretion and professionalism, maintaining a high level of confidentiality at all times.
Collaborate with other members of the executive team and cross-functional departments to ensure alignment and coordination on key initiatives.
Proactively identify opportunities to improve efficiency and effectiveness in executive operations, proposing and implementing innovative solutions.Additional Responsibilities:
Manage a busy diary, including booking meetings, lunches, breakfasts, appointments, and dinners.
Organize and manage domestic and foreign travel, including flights, cars, pickups, transfers, and visas.
Manage all aspects of household staff, including cleaners, and organize family time efficiently, including holidays, events, appointments, transport, and school administration.
Transcribe emails, letters, and correspondence in English and remind the CEO of important tasks and deadlines.
Type, compile, and prepare reports, presentations, and correspondence, managing databases.
Manage personal cares and hospitality, including dealing with bill payments, making dinner reservations, grocery shopping, and handling pickups and deliveries.
Collate and file all expenses, organize receipts, reconcile transactions and accounts, enter and file all expense reports, and track personal finance.
Conduct research and analyst reporting, support research on different business topics online, create research briefs and presentations, track news on followed topics, and provide news briefs on specific topics.
Perform miscellaneous tasks to support the CEO's matters, whether for business and/or personal purposes.
Qualifications:
Fluent in English with excellent verbal and written communication skills.
Proven experience as an executive assistant or similar role, preferably in a fast-paced startup environment.
Proficient in using digital tools, productivity software, and AI-driven solutions to optimize workflow and productivity.
Strong organizational skills with the ability to multitask, prioritize tasks, and meet deadlines in a dynamic setting.
Exceptional attention to detail and accuracy, coupled with strong problem-solving abilities.
Ability to maintain professionalism, discretion, and confidentiality when handling sensitive information.
Excellent interpersonal skills with the ability to build positive relationships and collaborate effectively with diverse stakeholders.
Demonstrated adaptability and resourcefulness in managing changing priorities and evolving responsibilities.
Bachelors degree or equivalent experience in business administration, management, or a related field.
