This role requires exceptional organizational skills, financial acumen & budgeting skills, attention to detail, and the ability to handle confidential information with discretion.
The ideal candidate will have a proactive mindset, strong communication abilities, and the capacity to manage multiple tasks effectively.
Key Responsibilities:
Administrative Support:
Providing comprehensive administrative support to the executive, including managing their calendar, scheduling appointments, arranging meetings, and coordinating travel arrangements.
Correspondence Management:
Handling incoming and outgoing communications on behalf of the executive, including emails, phone calls, and written correspondence. Drafting, proofreading, and editing documents, letters, reports, and presentations.
Meeting Coordination:
Planning and organizing meetings, conferences, and events. Preparing agendas, taking meeting minutes, and distributing them to relevant participants. Coordinating logistics, such as booking meeting rooms, arranging audio-visual equipment, and catering.
Information Management:
Managing and organizing information and documents, both electronic and physical. Creating and maintaining filing systems, databases, and records. Ensuring easy retrieval and confidentiality of sensitive information.
Relationship Management:
Building and maintaining effective relationships with internal and external stakeholders, including clients, colleagues, and business partners. Serving as a liaison between the executive and other team members, departments, and external contacts.
Research and Analysis:
Conducting research, gathering data, and preparing reports or summaries for the executive's review. Providing insightful analysis and recommendations to support decision-making processes.
Project Support:
Assisting in the planning, execution, and monitoring of projects. Coordinating project activities, tracking progress, and ensuring deadlines are met.
Confidentiality and Discretion:
Maintaining strict confidentiality and exercising discretion when handling sensitive and confidential information. Upholding professional ethics and integrity.
Strategic Reports:
Expert in Strategic Planning & Business Presentations. Good in Financial Acumen and Budgeting skills for various financial report like petty cash, budget etc.
Miscellaneous Tasks:
Handling miscellaneous tasks and ad-hoc projects as assigned by the executive. Providing general administrative support to the executive's team as needed.
Required Qualifications
Minimum 5 years proven work experience as a Executive Assistance to CEO/C Level
Preferable experience in real state, hotels and construction industry.
Knowledge of office management systems and procedures, Flow charts
Proficiency in office software and tools, Microsoft Visio
Outstanding organizational and time management skills
Ability to multitask and prioritize daily workload.
Flexibility and adaptability in a fast-paced environment.
Strong Communication Skills in Arabic & English.
Arabic Speaker Male candidate will be more preferable.
