Job Summary :
The Executive Assistant to the Managing Director (MD) will provide high-level administrative support to the MD, ensuring smooth day-to-day operations and strategic management of their schedule. This role requires excellent communication skills, attention to detail, and the ability to handle sensitive and confidential information. The ideal candidate will be highly organized, proactive, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities :
• Administrative Support :
• Manage the MD's calendar, including scheduling meetings, appointments, and travel arrangements.
• Prepare agendas, presentations, and reports for meetings.
• Screen incoming calls, emails, and correspondence; respond to or redirect inquiries as needed.
• Ensure the MD is well-prepared for all engagements by providing relevant documentation and briefings.
• Communication and Coordination :
• Serve as the first point of contact between the MD and internal/external stakeholders.
• Coordinate meetings with the Board of Directors, senior management, clients, and partners.
• Draft and proofread official communications, memos, and other documents on behalf of the MD.
• Organize and attend meetings with the MD, taking minutes, tracking action items, and following up on their execution.
• Project Management :
• Assist the MD in managing special projects, tracking progress, and ensuring timely delivery of milestones.
• Conduct research and analysis to provide the MD with the necessary information for decision-making.
• Handle confidential projects and business initiatives with discretion.
• Travel and Event Management :
• Organize complex travel itineraries, including flights, accommodations, and transport.
• Arrange logistics for company events, conferences, and external engagements.
• Office Management :
• Liaise with other departments to ensure the MD's office runs smoothly.
• Manage office supplies, expenses, and vendor relationships.
• Handle personal administrative tasks for the MD, as needed.
Qualifications and Skills :
• Bachelor's degree in Business Administration, Communications, or a related field.
• 3-5 years of experience as an Executive Assistant or in a similar role supporting senior leadership.
• Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
• Strong verbal and written communication skills, with attention to detail.
• Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
• Discretion and confidentiality when handling sensitive information.
• Strong interpersonal skills and the ability to build relationships with stakeholders.
• Proactive, with the ability to work independently and as part of a team.
• Experience in handling international travel and complex itineraries is a plus.
