JOB SUMMARY:
One of our Client (Signage & Outdoor Advertising) is seeking a talented and a highly skilled
Executive Assistant / Secretary
to provide comprehensive administrative support to senior executive.
This role demands exceptional organizational, communication, and multitasking abilities to ensure smooth daily operations. The ideal candidate will manage schedules, coordinate office activities, and serve as a key liaison between executives, internal teams, and external stakeholders.
KEY RESPONSIBILITIES:
Manage executive schedules, appointments, and calendars with efficiency.
Prepare, organize, and ensure the accuracy of documents, presentations, and reports.
Handle correspondence, including emails and calls, in a professional manner.
Coordinate meetings and conferences, preparing agendas, taking minutes, and distributing follow-up notes.
Ensure timely completion of action items and follow-ups.
Oversee office supplies, equipment, and maintain an organized workspace.
Safeguard and maintain secure, well-organized records and documents.
Arrange seamless travel logistics for executives.
Serve as the point of contact for internal teams and external clients.
Draft and proofread professional correspondence with attention to detail.
Handle sensitive information with discretion and confidentiality.
Assist in organizing company events and executive meetings, managing all event logistics to ensure smooth execution.
JOB REQUIREMENTS:
Qualification:
Bachelor's degree in Business Administration, Office Management, or a related discipline.
Experience:
At least 5 years of experience providing executive-level support, preferably from Signage, Digital Signage, Traffic Signs & Outdoor Advertising Industry.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
Exceptional verbal and written communication skills in English.
Strong organizational, time-management, and problem-solving capabilities.
Note:
Preference will be given to the candidates with experience in the advertising industry.
