We are seeking a proactive and organized Personal/Executive Assistant to support our CEO in daily operations and strategic initiatives.
Role Overview:
As the Personal/Executive Assistant to the CEO, you will play a crucial role in ensuring the efficient operation of the CEO's office. This position demands a high level of confidentiality, excellent communication skills, and the ability to manage multiple tasks seamlessly. You will be the primary point of contact for the CEO's schedule and will be responsible for facilitating communications, managing appointments, and representing the CEO in various capacities.
Key Responsibilities:
• Meeting Coordination: Schedule, coordinate, and follow up on meetings as discussed with the CEO. Ensure all necessary materials and information are prepared in advance.
• Calendar Management: Manage the CEO's calendar, ensuring optimal scheduling and effective time management. Check availability and plan appointments, meetings, and conferences.
• Communication: Act as the first point of contact for internal and external stakeholders on behalf of the CEO. Handle inquiries, provide information, and address concerns in a professional manner.
• Travel Arrangements: Arrange travel itineraries, accommodations, and logistics for business trips, ensuring all details are organized and communicated effectively.
• Correspondence: Draft, review, and manage correspondence, emails, reports, and presentations. Ensure timely and accurate communication on behalf of the CEO.
• Client Representation: Represent the CEO in meetings and interactions with clients, ensuring a positive and professional image is maintained.
• Administrative Support: Provide comprehensive administrative support, including document management, filing, and maintaining office supplies.
• Confidentiality: Handle sensitive information with discretion and maintain the highest standards of confidentiality.
• Task Management: Prioritize and manage multiple projects simultaneously, and follow through on issues promptly.
• Special Projects: Assist with special projects and initiatives as directed by the CEO, ensuring alignment with company goals.
Qualifications:
• Experience: Minimum of 1 year of experience as a Personal or Executive Assistant.
• Education: Bachelor's degree or equivalent in Business Administration or a related field is preferred.
• Skills:
• Communication: Exceptional verbal and written communication skills.
• Organizational: Strong organizational and multitasking abilities.
• Interpersonal: Professional demeanor with strong interpersonal skills.
• Technology: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
• Personal Attributes: Intelligent, detail-oriented, proactive, and able to work independently.
