The Position This role provides essential administration and logistics support to the META Lead, as detailed below and handle workload that may involve critical deadlines. Responsibilities Executive Support to META Lead
Coordinate visa & travel arrangements and accommodation requirements for meetings inside and outside the country
Manage and submit travel and routing activity expenses
Handle general management PO's from creation to invoicing and closing
Research and collect information
Assist with all budget activities, including accounting
Help implement new programs, procedures, methods, and systems
Responsible for preparation of confidential documents and reports
Manage Ad-hoc projects, if any, as directed
Travel and Logistics
Liaise with corporate travel agency for travel arrangements of team members & customers attending any event
Liaise with local embassies, consulates (whenever applicable)
Generate room listing
Coordinate with hotels, agencies, tour operators, and other relevant vendors
Indirect Procurement
Liaise with vendor/service provider to gather required information to setup vendor in SAP
Ensure all documentation and dealings with vendors are in accordance with compliance
Securing cost efficiencies by negotiating and obtaining preferential rates with suppliers
Handle full cycle of payment management with vendors (including scanning and submitting invoices for payments processing) and act as primary point of contact on event payment/expenses
Follow up on goods & services delivery status and close PO's in SAP.
Create payment request form (PRF) where PO is not required
General Administration
Filing and storage management
Ensure all documentation is as per compliance and audit standards.
Managing event budgets
Follow up with senior team members, other stakeholders, and other colleagues to support success of work
Anticipate and perform administrative duties to meet requirements and perform any other necessary support
Required Education, Experience and Skills
Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel
Experience processing Visa/Passport Applications
SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP
Ability to handle and prioritize a large number of simultaneous assignments
Event Planning/Coordination experience
Extraordinary attention to detail
Outstanding communication and people skills
Budget/Finance Management experience
5 to 10 years Executive Assistant experience Minimum of (3) years administrative experience supporting Sr. Directors / Executives
Education - Graduate in any discipline
Language -Well versed in English
