We are seeking a dedicated and experienced Executive Assistant (EA) to provide comprehensive administrative support to the Chairman of our organization. The ideal candidate will be proactive, detail-oriented, and capable of managing a wide range of administrative tasks with discretion and efficiency. This role requires a high degree of professionalism and the ability to handle sensitive information confidentially.
•Responsibilities: •
1. •Calendar Management: • Coordinate the Chairman's schedule, including meetings, appointments, and travel arrangements. Anticipate scheduling conflicts and proactively manage adjustments as needed.
2. •Communication Liaison: • Manage incoming communications (phone calls, emails, letters) and respond on behalf of the Chairman when appropriate. Ensure timely and accurate communication with internal and external stakeholders.
3. •Documentation and Reporting: • Prepare and edit correspondence, reports, presentations, and other documents as required. Maintain organized filing systems, both physical and digital, to ensure efficient document management.
4. •Meeting Coordination: • Arrange logistics for meetings, conferences, and events attended or hosted by the Chairman. Prepare meeting materials, agendas, and minutes as necessary.
5. •Travel Arrangements: • Coordinate domestic and international travel arrangements, including flight bookings, accommodation, visas, and itineraries. Provide travel support and assistance during trips as needed.
6. •Expense Management: • Track expenses, prepare expense reports, and ensure timely submission and reimbursement processes.
7. •Special Projects: • Assist with special projects and initiatives as assigned by the Chairman, including research, data analysis, and maintaining his personal assest Maintance & presentation preparation.
8. •Confidentiality: • Handle confidential information with discretion and maintain confidentiality at all times.
•Requirements: •
- Proven experience as an Executive Assistant or similar role, preferably supporting C-level executives or high-profile individuals.
- Minimum 8-10 years of experience in executive support roles.
- Valid UAE driving license with a clean driving record.
- Exceptional organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Strong written and verbal communication skills, with a keen eye for detail.
- Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software applications.
- Ability to work independently and collaboratively in a fast-paced environment.
- High level of integrity and professionalism, with a proactive and problem-solving attitude.
- MBA 's degree in Business Administration or a related field is preferred.
