Job Title: Executive Administrative Assistant
Work location: Al Quoz, Dubai (Near Onpassive Metro Station)
Job Responsibilities:
• Schedule and maintain appointments, meetings, and travel arrangements.
• Ensure the executive is prepared for meetings, with agendas and relevant documents.
• Act as the main point of contact for internal and external stakeholders.
• Screen and direct phone calls, emails, and other communications.
• Take minutes during meetings and ensure follow-up actions are completed.
• Maintain records of meetings, decisions, and action items.
• Plan and coordinate domestic and international travel, including flights, hotels, transportation, and itineraries.
• Organize and maintain files, both digital and physical, ensuring easy access and retrieval.
• Prepare reports, presentations, and spreadsheets.
• Process invoices, receipts, and other financial documents for reimbursement.
• Prepare budget reports and ensure compliance with company policies.
• Assist with special projects by conducting research, preparing documents, or managing timelines.
• Manage office systems, such as filing, email organization, and document management.
• Serve as a trusted liaison between the executive and various internal or external contacts
• Perform administrative duties like typing, copying, filing, and mail management.
• Perform additional duties as assigned by the immediate manager
Job Requirements:
• Bachelor's degree in business administration, Management, or a related field preferred.
• Proven experience as an executive assistant or in a similar administrative role.
• Excellent organizational and time-management skills
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong attention to detail and problem-solving skills.
• Can join immediately
Job Type: Full-time
Pay: AED5,000.00 - AED8,000.00 per month
