Job Description

A leading edutainment company in the UAE is looking for an event manager to join their team.
Key Responsibilities:

Customer Management

Support marketing/sales team in identifying & sourcing clients, especially schools & colleges for party/ event booking.

Ensuring efficient communication with clients to project OW & its services effectively

Convert the clients into booking & documenting their specific requirements.

Support in responding to the customer queries & requests received through social media.

Ensure client feedback is documented, reviewed, rated & action taken on improvement areas.

Periodically share the customer ratings with the top management & other relevant internal stakeholders.

Standardization

Develop and implement standard operating procedures for consistent excellence across all events and parties, regularly updating these procedures.

Ensure that all parties & events at its are in accordance with the local regulations & guidelines & international best practices.

Vendor Coordination

Identify & develop new & innovative product partners that would attract customers including fun & educational activities like pottery, first aid; decorators, suppliers of various party/ event materials etc.

Create a vendor directory for easier access for the team members across centres.

Maintain vendor contracts & agreements.

Collaborate with catering services (if required), decorators, entertainers, and other vendors to ensure high-quality service offerings for all events and parties, emphasizing standardization of practices and services across centres.

Cross Functional Team Management

Coordinate with IT for the availability and functionality of necessary IT products/services, including software & hardware at all locations & events.

Ensure effective communication and collaboration among team members across all branches.

Providing training to playmates, party coordinators, receptionists, team leaders, and centre managers on various birthday & event packages at regular intervals & assess their knowledge.

Collaborate closely with the marketing team to plan and execute successful events, customized parties theme designs, social media marketing campaigns and responses,

Ensuring timely follow-ups on promotional designs and materials & implementation as per the agreed timelines/ calendar.

Event Design & Management

Plan for regular & frequent events across branches that enable sustained customer interaction & visits, including fun and educational events, seasonal/holiday events, and targeted customer segment events.

Manage logistics, activities, budget, and safety measures for camps, implementing an efficient online registration system and availability of easier payment processes.

Facilitate & oversee successful events and track the feedback.

Party Management

Innovate and create new birthday party packages to attract a diverse client range, enhancing service offerings.

Define and clarify the party booking process to the team members at the centres.

Collaborate closely with the centre team members to plan and execute successful parties effectively, ensuring timely follow-ups on promotional designs and materials.

Oversee and observe birthday parties to ensure they meet high standards of quality and customer satisfaction, aiming for a premium experience.

Inventory Management

Regularly assess and manage inventory levels for party supplies across branches and provide reports to top management, regional managers and centre managers.

Maintaining adequate stock of all materials in each region in coordination with the purchase team & preventing non-moving or dead stock.

Facilitate the smooth transfer of event and party materials between branches in collaboration with area managers.

Acceptable proficiency/threshold education, qualifications, training, and experience are necessary to enable the role holder to perform the role fully and effectively.

Educational qualifications : (Minimum educational background required to execute the role)

Any Undergraduate Course

Relevant certifications in Event Management, Project Management, or Hospitality Management

Relevant experience : (Type/ Nature and years of relevant experience required to execute the role)

Overall, 8 to 10 years of experience

3 to 5 years of hands-on experience specifically in Event & Party Management

Job Type: Full-time

Pay: AED8,000.00 - AED10,000.00 per month

Experience:

• event and party management in entertainment industry: 7 years (Required)
• event management in the UAE from entertainment industry: 4 years (Required)
• sourcing clients, especially schools & colleges for events: 3 years (Required)
• maintaining of vendor contracts & agreements: 3 years (Required)
• plan for regular & frequent events across multiple branches: 5 years (Required)
• managing logistics, budget, and safety measures for events: 4 years (Required)

License/Certification:

• UAE Driving License with car (Required)
