Job Summary
We are seeking a dynamic and detail-oriented Event Manager to oversee the planning, coordination, and execution of promotional and corporate events for our advertising campaigns. The ideal candidate will work closely with clients, creative teams, and vendors to deliver memorable and impactful events that align with our brand and client objectives.
Key Responsibilities
1. Event Planning & Coordination:
• Plan, organize, and manage events such as product launches, corporate meetings, promotional events, and client engagements.
• Develop detailed event plans, timelines, and budgets.
• Conduct site visits and oversee venue selection.
2. Client and Stakeholder Management:
• Collaborate with clients to understand their goals, expectations, and budgets.
• Act as the main point of contact for clients and stakeholders throughout the event lifecycle.
• Present event proposals and updates to clients.
3. Collaboration with Teams:
• Work with creative teams to ensure branding and advertising messages are effectively incorporated into events.
• Coordinate with the marketing, design, and PR teams for event promotion.
4. Vendor and Supplier Management:
• Source and manage relationships with vendors, including caterers, decorators, AV technicians, and event staff.
• Negotiate contracts to ensure cost-effectiveness.
5. On-Site Event Management:
• Oversee event setup, operations, and takedown.
• Ensure smooth execution of events by managing schedules, staff, and addressing any issues.
6. Budget and Financial Management:
• Create and monitor event budgets to ensure financial efficiency.
• Provide post-event financial reporting and cost analysis.
7. Post-Event Analysis:
• Conduct debriefings to evaluate event success and areas for improvement.
• Gather feedback from clients, attendees, and stakeholders.
Qualifications and Skills
• Education: Bachelor's degree in Marketing, Communications, Event Management, or related field.
• Experience:
• 3-5 years of experience in event planning and management, preferably within the advertising or marketing industry.
• Proven track record of managing large-scale events successfully.
• Skills:
• Strong project management and organizational skills.
• Excellent communication and interpersonal skills.
• Ability to multitask and perform under pressure.
• Creativity and problem-solving skills.
• Proficiency in event management software and tools.
• Preferred:
• Experience in digital event management and hybrid event solutions.
• Knowledge of advertising trends and audience engagement strategies.
Work Environment:
• Fast-paced and deadline-driven.
• May require travel and irregular working hours, including weekends and evenings, based on event schedules.
