Job Description

Position Summary:As an Event Planner, you will be responsible for overseeing the successful planning and execution of events from concept through completion. This includes coordinating with clients, managing vendors, and ensuring all logistics run smoothly to deliver a memorable and successful event.Key Responsibilities:
  • Event Planning and Coordination:
  • Meet with clients to understand their needs, preferences, and budget for the event.
  • Create detailed event proposals, timelines, and budgets for client approval.
  • Develop a comprehensive project plan to ensure all logistical aspects are covered.
  • Vendor and Venue Management:
  • Identify, select, and negotiate with vendors, including caterers, decorators, entertainers, and transportation services.
  • Conduct site visits to venues to ensure they meet client requirements and address logistical needs.
  • Coordinate with venues for event setup, layout, seating arrangements, and other specifics.
  • Budget Management:
  • Develop and manage event budgets to ensure events remain within the allocated costs.
  • Track expenses, manage invoices, and negotiate with vendors to control costs.
  • Provide clients with a detailed cost breakdown and periodic updates on spending.
  • Logistics and Coordination:
  • Organize and oversee event logistics, including timelines, delivery schedules, setup, and breakdown.
  • Coordinate on-site event activities to ensure everything runs smoothly.
  • Handle any issues that arise during the event to maintain a positive experience for clients and guests.
  • Client Relations:
  • Serve as the main point of contact for clients, providing regular updates on event progress.
  • Conduct client follow-ups post-event to ensure satisfaction and gather feedback.
  • Maintain positive relationships with clients to encourage repeat business and referrals.
  • Marketing and Promotion (If Applicable):
  • Develop promotional strategies to market events (for public events).
  • Utilize social media, email marketing, and other channels to promote events.
Required Skills:
  • Strong organizational and project management skills.
  • Excellent verbal and written communication skills.
  • Attention to detail and ability to multitask in a high-stress environment.
  • Proficiency in event planning software (e.g., Eventbrite, Cvent) and Microsoft Office.
  • Budgeting and negotiation skills.
  • Problem-solving skills and quick thinking.
Preferred Skills:
  • Experience in digital marketing or event promotion.
  • Knowledge of contract management and vendor negotiation.
  • Understanding of AV/tech equipment and logistics for events.
  • Familiarity with catering and hospitality services.
Qualifications:
  • Bachelors degree in Event Management, Hospitality, Business, or a related field.
  • Previous experience in event planning, coordination, or a similar role.
  • Certification in event planning (e.g., CMP - Certified Meeting Planner) is a plus.

  • Strong interpersonal skills and ability to work well with diverse teams.
  • Creative problem-solving skills and adaptability.
  • High level of professionalism, especially under pressure.
  • Time management and efficiency in meeting tight deadlines.
