Events Operations Administrator, you will be the organizational engine behind the events we conduct every year. You will manage multiple events at once, ensuring every step of the process is complete so events can be successful. You will apply your CRM and project management knowledge to our processes and supporting the growth of the events and marketing function at the most rapidly growing organization.
• Planning and organizing: Developing production schedules, allocating resources, and ensuring that all necessary materials and equipment are available.
• Supervising production staff: Managing and guiding a team of workers, including assigning tasks to ensure productivity and adherence to safety regulations.
• Monitoring production processes: Regularly assessing the production line to identify any issues or bottlenecks that may impact production output. Taking corrective actions and making necessary adjustments to maintain efficient operations.
• Quality control: Implementing and maintaining quality control measures to ensure that products meet or exceed the company's standards. This includes conducting analyzing production data and addressing any quality-related concerns.
• Inventory management: Monitoring inventory levels, coordinating with purchasing departments to ensure availability of raw materials, and minimizing waste or excess inventory.
• Continuous improvement: Identifying opportunities for process improvement, implementing lean manufacturing principles, and driving initiatives to increase productivity, reduce costs, and optimize resource utilization.
• Communication and coordination : Collaborating with other departments, such as accounts, operations, and logistics, to coordinate production activities and resolve any issues that may impact production schedules or quality.
• Produce proposals for assigned events, including timelines, venues, suppliers, draft budget and staffing requirements.
• Support the Events team in event planning as needed, including contract negotiation, event deliverables, event briefs, and logistics.
• Oversee Events inbox and route requests to appropriate owners.
• Support travel booking as requested.
• Manage administrative and additional marketing and events tasks as needed.
• Assist the Events Manager and Senior Events Officer with administrative support when developing and implementing new projects.
• Cross-team working and support.
• Work collaboratively to help and support colleagues in the delivery of events as required under the supervision of the Senior Events Officer.
Candidate Requirements:
• At least 2-3 years of corporate marketing or event management experience.
• Outstanding project management skills, ideally with at least a year of experience. using a CRM or event-management software to execute a high volume of events.
• Strong organization and management skills
• Excellent written and verbal communicator; comfortable communicating with vendors and employees alike, including C-suite stakeholders.
• Cool under pressure, ability to make decisions quickly and to manage multiple competing projects and priorities.
• Self-driven and motivated; able to work independently as well as part of a team; remote work experience preferred.
• Strong experience with Microsoft office suite
• Available for travel to events (1-2 events annually)
• College degree, ideally in events, administration or related field.
Salary Payable - AED 5500 to AED 6500
