Role Overview: The Events Manager / Coordinator at Hoxton Capital Management will play a crucial role in organizing and managing promotional events to drive brand awareness and generate leads for our wealth management services. This position requires meticulous attention to detail, strong organizational skills, and the ability to deliver seamless event experiences from planning to execution. The ideal candidate will be customer-focused, proactive, and adept at managing multiple tasks in a fast-paced environment.
Key Responsibilities: 1. Event Planning and Logistics - Plan, coordinate, and execute promotional events, including seminars, workshops, and networking sessions, in line with company objectives and brand guidelines. - Manage all aspects of event logistics, including venue selection, catering arrangements, audiovisual setup, and equipment rentals, ensuring smooth execution and adherence to budgetary constraints. - Collaborate with internal stakeholders, external vendors, and partners to ensure seamless coordination and execution of events. 2. Attendee Management -Confirm registrations for events via phone and email, providing event details and addressing inquiries or concerns from prospective attendees. - Act as the primary point of contact for event attendees, providing assistance and support throughout the event lifecycle, from pre-registration to post-event follow-up. - Operate as 'front of house' at events, warmly welcoming attendees, managing registration/check-in processes, and ensuring a positive guest experience. 3. Post-Event Follow-Up - Conduct post-event follow-up with attendees and prospects to gather feedback, answer questions, and nurture relationships. - Collaborate with the sales team to facilitate timely and effective follow-up with event leads and prospects, booking appointments and managing the sales pipeline. - Maintain accurate records of event attendance and interactions in the CRM system, tracking key metrics and insights for future analysis and planning. Key Traits: - Proven experience in event planning, coordination, and execution, preferably in the financial services or related industry. - Exceptional organizational and time management skills, with the ability to manage multiple projects simultaneously and meet deadlines. - Strong interpersonal and communication skills, with the ability to engage with diverse stakeholders and provide excellent customer service. - Detail-oriented approach to tasks, with a focus on accuracy and precision in event logistics and attendee management. - Ability to work independently and as part of a team, with a proactive and solutions oriented mindset. - Fluency in English is required, with proficiency in Arabic considered a plus.
