The Event Coordinator at BE VIP Arena plays a key role in supporting the planning and execution of various events. This position involves assisting in the coordination of logistics, vendor management, and on-site event execution, ensuring all aspects of events are organized efficiently and meet high standards. The ideal candidate will be detail-oriented, proactive, and capable of managing multiple tasks to ensure successful event delivery.
Key Responsibilities:
Event Support:
Assist in the planning and execution of events, supporting the Event Manager in all aspects of event coordination and implementation.
Logistics Coordination:
Help coordinate logistics including venue arrangements, transportation, and equipment setup. Ensure all logistical elements are organized and executed according to the event plan.
Vendor Management:
Assist in managing relationships with vendors, suppliers, and service providers. Support the negotiation of contracts and ensure vendors meet their commitments.
On-Site Event Execution:
Provide on-site support during events, ensuring smooth operations and addressing any issues that arise promptly. Assist with setup, coordination, and breakdown.
Client Interaction:
Communicate with clients to understand their needs and provide updates on event planning progress. Assist in addressing client inquiries and concerns effectively.
Administrative Duties:
Handle administrative tasks related to event coordination, including scheduling, documentation, and record-keeping.
Event Documentation:
Prepare and maintain event documentation, including plans, checklists, and reports. Ensure all necessary paperwork is completed and filed.
Team Collaboration:
Work closely with the Event Manager and other team members to ensure cohesive event execution. Collaborate with various departments to support overall event goals.
Quality Assurance:
Assist in ensuring that all aspects of the event adhere to BE VIP Global's quality standards. Conduct post-event evaluations to gather feedback and suggest improvements.
Trend Awareness:
Stay informed about industry trends and best practices in event coordination. Implement innovative ideas to enhance event planning and execution.
Skills & Requirements:
Education:
Bachelor's degree in Event Management, Hospitality, Marketing, or a related field.
Experience:
2+ years of experience in event coordination or a related role, with a proven track record of supporting successful event execution.
Organizational Skills:
Strong organizational skills with the ability to manage multiple tasks and details simultaneously.
Communication:
Excellent interpersonal and communication skills, capable of interacting with clients, vendors, and team members effectively.
Problem-Solving:
Proactive approach to identifying and resolving issues, with the ability to think quickly on your feet.
Teamwork:
Ability to work collaboratively with team members and other departments to achieve event objectives.
Attention to Detail:
Meticulous attention to detail to ensure all event elements are accurately coordinated and executed.
Flexibility:
Willingness to work flexible hours, including evenings and weekends, as needed by event schedules.
